Summary:
This position is responsible for coordinating specific projects and/or program initiatives for the Psychological Services Training Program and Faculty. This includes support services related to application by trainees and faculty for employment and accreditation related activities over the course of the training year. Coordination of these projects will include initiation and follow through as well as consistent reporting of progress to the leadership. The coordinator will serve as a resource to members of work groups and provide and develop appropriate tools for project completion.
Responsibilities:
Application, On-Boarding and Orientation: Management of the application process for postdoctoral candidates, non-employed students and faculty. Coordinate with Student Services, Chief Psychologist, Directors and Managers the on-boarding of all newly recruited post doctoral fellows, trainees and faculty. This includes Lawson management (e.g., personnel actions: initial onboarding, terminations, extensions, position changes and key requests), Ultimus requests and the management of all final clearance procedures for non-employed students, managing the tracking system for applicants and recruits, communicating with accepted trainees regarding credentialing process, assisting in the management of all logistical aspects of the orientations, confirming speakers and their remarks/presentations, working with educators, AV/Catering, etc. Assist with recruitment visits including schedule on-site and travel accommodations (flight, hotel, car rental, etc). Coordinate with Service Area manager to determine new hire logistics (office location, key, phone line, pager, system accesses, distribution lists, etc.). Aid in the completion of Managed Care applications for faculty.
Program Management: Maintain employee files and competencies log for trainees and faculty. Point of contact between non-employed students and Access Management, Liaise with Student Services, Badge Office, HRIS, Access Management to facilitate addition to Lawson, badge creation and creation of Outlook account. Responsible for annual re-credentialing of all extending non-employed students. Prepare and update the Psychological Services Procedure Manual. Order supplies for trainees and faculty as needed. Aid in travel and education arrangements. Aid in PI tracking across Psychological Services. Produce productivity reports monthly. Aid in coordinating materials for PEAC and faculty reviews.
Coordinate Program Activities: Responsible for project and subproject activities from start to finish as assigned. Creates and modifies templates and tools to aid team in reporting project activities and results. Performs informational analysis and develops reports as requested.
Special Projects: Assist Chief Psychologist, Director and Managers in special projects relevant to the training program and those that support the strategic initiatives of the hospital.
This is a full-time position.
How You’ll Be Successful:
WORK EXPERIENCE
4 years related experience Required
Experience in healthcare, communications, community relations, higher education, or customer service Required
Experience communicating with patients, families and providers Required
Proficiency with Microsoft Excel Required
Must be knowledgeable about HIPAA
EDUCATION
High school diploma or equivalent Required
Four-year Bachelor's degree or equivalent experience Preferred
