Bilingual Clinical Intake Administrative Assistant

 CETC is seeking an organized and proactive clinical intake administrative assistant (CIAA) to join our organization. You will work directly with our Clinical Director and Chief Operating Officer to ensure the Intake workflow is efficiently and effectively implemented. Must have strong interpersonal skills, the ability to manage multiple tasks at once, good time management and organization skills, detailed oriented and a wide breadth of experience managing clerical responsibilities.

Key Functions:

  • In-processes all new and/or returning patients from end-to-end
  • Enters administrative information into a computerized database
  • Verifies new patient insurance information
  • Runs reports and initiates corrective action as necessary to ensure accuracy and completeness of administrative information
  • Compiles and reports on incoming client data and trends
  • Assists clients and staff with client account questions as they occur
  • Schedules orientations, therapy sessions, and/or evaluations
  • Manages patient schedule change requests
  • Conducts new patient orientations (enforces Center policies and procedures, and safety regulations)
  • Keeps current with trends and developments related to essential job competencies
  • Fields billing questions from prospective and current patients
  • Establishes, monitors /tracks and submits pre-authorization/re-authorization of insurance coverage (new and existing clients)
  • Creates and maintains databases, tables, or inventories, and generates reports as requested
  • Verifies, records, and updates all parties on client insurance coverage/benefits
  • Produces benefits record requests as needed
  • Manages and completes Therapist Team Coverage Requests
  • Performs additional responsibilities as requested to achieve business objectives
  • Updates Standard Operating Procedures as workflows change

 Qualifications:

Minimum qualifications Associate’s Degree (preferred)

Bilingual in English/Spanish is a MUST (Reading, Writing and Speaking)

Basic knowledge of health insurance benefits is a MUST

2 years experience in a Healthcare and Medical office setting

2 year’s experience in this position and/or basic office management

Committed continuing education to improve job performance**

Proficient use of a personal computer (i.e., knowledge of Internet Explorer and search engines, MS WORD, EXCEL, PowerPoint, beginner’s knowledge of QUICKBOOKS is a plus)

Experience with file management, inventories, scheduling

Excellent customer service and communication skills

Excellent telephone etiquette

Excellent organizational, time management skills, and ability to multitask

Demonstrates above average verbal and written communication skills

Ability to follow written and oral instructions

Multi-tasks takes initiative, problem solves and demonstrates good critical thinking skills, & fast learner
