Description

Office Manager/Executive Assistant Job Summary

This is a 32 hour a week position, that reports to the CDO/VP of Development and Communications and is responsible for coordinating a large variety of administrative functions relating to fundraising and communication activities, while also providing daily administrative support to the CDO. This position also provides clerical support to the Foundation Board of Trustees and board committees.

Office Manager/Executive Assistant Sample Job Duties

  • Tracking and ensuring all gift detail is accurately documented in Razors Edge and hard files, including generating reports with accuracy while meeting tight deadlines.
  • Bill paying, check writing and invoicing.
  • Bank Deposits
  • Meeting minutes are accurately recorded and done in a timely manner.
  • Proofreading and editing of Foundation documents and correspondence.
  • Coordination of meeting arrangements, contacting attendees, providing materials and scheduling.
  • Function as receptionist for Foundation staff.
  • Manage volunteers for marketing, fundraising, events, and administrative projects as needed.
  • Daily tasks associated with administrative to the CDO.
  • Participate in all special events with emphasis on coordination of payments and ticket sales to ensure successful operation of foundation events.

Requirements

Required: Associate degree plus two years of administrative work at a level of responsibility that demands independent judgment and discretion. Ability to work with highly confidential data. Experience and strong comfort level with computer systems and a variety of software. Knowledge and experience with Razors Edge preferred but not required.
