Chick-fil-A is Hiring an Administrative Coordinator - Launch Support Programs Near Atlanta, GA

Overview

The Launch Programs Administrator provides administrative support to ensure efficient Launch Programs operations, including LDP Program, FTS program and Technology Advisors Program. They assist the Director(s) and Launch Programs Staff with organization, reporting and communication tasks. The role involves handling confidential and time-sensitive material and requires familiarity with field concepts and practices.

Key qualifications include strong written and verbal communication skills, accuracy in completing responsibilities promptly and with high quality. The role demands experience, follow-through, judgment, creativity, and adaptability in achieving goals.

Responsibilities

Administrative - 90%

  • Provide support to Launch Support Programs Director(s)

o Full calendar management

o Plan and book travel

o Expense reporting

o Track Launch Programs budget and monthly updates

o Code and approve invoices

o Budget reporting and tracking support

o Assist in preparing presentations and proposals as assigned and needed

o Plan and organize team events, meetings and celebrations (showers, retirements, team-building events, etc.)

  • Coordinate and plan team meetings

o Bi-weekly tactical meetings, monthly strategic meetings and quarterly planning meetings

o Agenda creation and management

o Schedule meeting spaces

o Invite guests

o Order catering

o Order audio visual services

o Record decisions and action items and revisit action items each meeting

o Prepare PPT decks, agendas, and support materials

  • Maintain critical Launch Programs data to support reporting, storytelling and key stakeholder engagement

o Manage Program Teams Microsoft Teams Channels (organization, documents, access)

o Ensure communication to team, external stakeholders, and program vendors is current and relevant

o Maintain LDP Participant and Alumni Distribution lists and databases

o Track Participant selections post LDP

o Update selection info on LDP Data Master Smartsheet

o Responsible for updating/maintaining New Operator Smartsheet

o Update scorecards and reports for all Programs

o LDP participant Survey management

o PowerApp manual data entry and updating for reporting

  • Track LDP Participant status to inform Launch Support Leadership

o Proactively manage and coordinate Support Center Operator team visits and requests with Launch Support Leadership Team

o Track Participant bell-ringings and Staff Selection celebrations and add them to the LDP Team calendar and include all Launch Support and partners (Caitlin Johnson and others) on invites

o Track all Participant visits to The Support Center and share with Launch Support Leadership

o Track LDP Alumni Symbol of Success, Champions Club and significant milestones to celebrate on a quarterly basis

  • Responsible for New LDP Participant set-up and scheduling

o Order DOCs

o Complete new user set-up

o PowerApp access

o Upload new photos to Smartsheet

  • Lead LDP Program Team Participant Care efforts in order to create an environment where Participants feel known and valued

o Track Participant Prayer/Praise request list and send gifts as appropriate

o Send Participant exit gifts when they leave LDP

o Track LDP Program Lead “Surprise and Delight” budget

o LDP Participant Expense Report Processing

Field Talent Solutions Program Support

o Own Tableau and Qualtrics dashboard holistically including weekly update of FTS Trainer Survey Smartsheet and add NROs into Qualtrics for Trainer Survey to be sent out; pull quarterly reporting data from Qualtrics

o Send out FTS Trainer Survey Results to GOSs and Leads 5 weeks after GO on a weekly basis

o Own process for “surprise and delight” sent to two NRO teams each month by each Region Admin

o Own process to ensure email sent to new Operator markets for NRO when the EOI is posted on Workday

o Creation and distribution of quarterly FTS Lift-off Newsletter for LDP Participants

o Logistics support for Technology Advisers Annual Summit

o Launch Program Survey administration for FTS program

o Workday administrative support as needed

Supporting the Work - 10%

  • Support and initiate onboarding process for new Launch Programs Staff
  • Partners with Project Specialist on Special projects support
  • Manage the LDP Participant disciplinary folders on SharePoint for all of Launch
  • Track LDP participants use of development funds
  • Track International LDP participants’ state date, visa expirations and cue team on upcoming transition dates
  • General program data tracking/smartsheets
  • Partner with Franchisee Selection to notify them when Participants are eligible to express interest in Operator opportunities
  • Manage design and ordering of promo items and giveaways (shirts, pullovers, stickers, mugs, etc.)
  • Process invoices for Launch Program staff as needed
  • Provide guidance on expenses for Launch Program staff (i.e. budget coding, staff expense guidelines)

Minimum Qualifications

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational skills and follow-through
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office and office management software

Preferred Qualifications

  • 2 years of complex administration work supporting Director level and above 
  • Proficiency in Workday, NOVAtime, Oracle Fusion, Tableau, Smartsheet, Microsoft Teams, and Restaurant Financial Reporting
  • Strong problem-solving abilities
  • Proactive self-starter with a talent for proposing solutions
  • Superior written and verbal communication skills
  • Strong time-management and multitasking prowess
  • Quick learner, adept at mastering new software and systems
  • Diligent in maintaining confidentiality of company information

 BS/BA in office administration or relevant field
