Patient Care Coordinator
Overview: We are a high energy dental surgery office looking forward to for a new team member to be a welcoming face for our practice. Patient care is our upmost priority, and we accomplish this with exceptional service and close-knit teamwork. We are looking forward to having a new addition to our team!
Education/Experience:
High school diploma with some college or business school preferred. Data entry and computer skills needed.

Responsibilities:
Serve primarily as a patient care coordinator and keep front desk staffed at all times
Answer phone – First to answer
- Help address patient’s needs and transfer phone accordingly
- Notify Doctor of other doctor calls. Have patient chart on computer
Greet all patients courteously when arriving and make sure the staff is notified when the next
patient has arrived (If running behind try to arrange a pickup, 15 min max wait time)
Advise patients if we are behind schedule.
Verify and update patient address, dental benefits, e-mail address, and phone number(s)
Responsible for reception room, work area, and main patient bathroom
Arrive 10min before opening to open reception room
Keep clean and neat and well stocked; check at least three times daily
Maintain comfortable temperature
Check function of TV and keep magazines neat (Recycle old magazines)
Check crayons and coloring books for children in lobby
Be aware of time patients are waiting
Provide coffee, and water to waiting patients, family or friends
If scheduled patients are feeling sick due to prescriptions, take them on back
Print routing/care slips for scheduled patients
Greet new exam patients
Welcome everyone who enters the office
Collect information forms/give new if needed
- Give information to Treatment Coordinator
- Scan in ID and upload new patient photo
Get dental benefit information and give to Treatment Coordinator
Establish friendly relationships with patients
Check e-mail several times daily
Be sure emails with information is given to Treatment Coordinator as needed
Print information for doctor(s) to review
File with new patient slip
Add x-rays/photos to patient's file
Scan/transfer to patient information
Call “follow up patients” 2 days prior to scheduled appointment for reminders
Make sure to remove “Sign In” stickers
Maintain HIPPA compliance conversations while in the window
Encourage patients to leave reviews
Check out patients if other staff is busy
Post treatment completed from schedule or treatment plan
Take over-the-phone payments and email/mail receipts
Collect payment due and post
Review remaining balance owed
Schedule next appointment
Contact office for patient if referred or need to schedule at their General Dentist
Responsible for lights and closing the reception room
Help with correspondence letters and emails and faxes to other offices
Cross train other front desk positions and support other staff members regardless of duties
Reschedule patients
