This position description is for a full-time position with the normal benefits as described in the Central Texas Veterinary Specialty and Emergency Hospital (CTVSEH) Employee Manual.
Under the supervision and direction of the Emergency Care Operations Coordinator (ECCO) and the Emergency Care Chief of Staff (ECCS), this position provides for and supervises the care and treatment of animals admitted to Central Texas Veterinary Specialty and Emergency Hospital (CTVSEH). The Emergency Care Team Lead serves as the senior technician and intermediate supervisor for assigned staff. The Emergency Care Team Lead is responsible for, with the guidance and assistance of the HRM, ECCS & ECCO, recruiting, hiring, and managing assigned support staff. In addition, this position will train subordinate staff in clinical techniques and ensure treatments are carried out in a proper and timely manner. This position develops staff schedules, reviews timesheets, and approves requests for overtime and time off.

Position Purpose - Essential Functions:
The Emergency Care Team Lead plays an integral role in the Advanced Veterinary Care provided by Central Texas Veterinary Specialty and Emergency Hospital. This role goes hand in hand with our purpose statement of enhancing the quality of life for our patients. The objectives of this position are to supervise, direct, plan, coordinate and perform a variety of duties concerned with animal health and client education. These objectives are in support of the Central Texas Veterinary Emergency Care Department to assure quality care for pets and promote greater efficiency by relieving veterinarians of technical work and administrative details. This position also encompasses all the duties of the veterinary technician along with the added responsibilities of overseeing training, supervision of department members during scheduled shifts, and the flow of operations.
Responsibilities & Duties- Essential Functions: (included but not limited to):
  • Help resolve client complaints or concerns. Educate clients regarding policies where required.
  • Actively direct/assist/counsel/manage shift leads, technicians, and tech assistants in their performance of a variety of technical and client education duties that facilitate the work of the veterinarians.
  • Provide leadership and support to the emergency care staff. Maintain and uphold hospital policy and protocol. Educate staff regarding policies where required.
    • Ensure hospital SOPs and protocols are being followed
  • Communicate well with Team Leads at other locations and departments
    • Stay in touch to figure out what problems have arisen and how to correct them
  • Actively involved in the training and supervision of the technical department to ensure that the standard of patient care and customer service is consistently practiced by all members of the department.
  • Participate in the development and maintenance of emergency department procedures. Maintain any and all protocols set forth by the doctors and management. Ensure that employees are in compliance with regulations.
  • Arrange the emergency department work schedule, ensuring that the staffing will be adequate to meet the needs of hospitalized patients and emergency appointments.
    • Have 3 months scheduled out in advance to allow staff members to plan accordingly.
    • Scheduling duties include vacation requests, holidays, sick time, and continuing education (Team Leads are responsible for finding replacement/coverage when needed).
  • Oversee the interviewing and hiring of new technicians. Conduct employee performance evaluations and goal setting. Attend monthly team lead meetings.
  • Discuss compensation considerations with management.
    • Conduct new employee evaluations during the introductory period of 30 and 90 days.
  • Implement disciplinary actions. Resolve informal employee complaints. Provide a general explanation/counsel of the nature and basis for hospital personnel policies and procedures. Maintain effective employee-management communication. Assist with coaching and terminating employees.
  • Schedule and conduct periodic departmental meetings complete with an agenda.
  • Oversee completion of daily checklists. This includes oversight that the department is prepared for office hours.
  • Oversee weekly and annual drug log maintenance and manual drug count. Must be knowledgeable regarding related federal and state laws and regulations regarding the dispensing, disposal, ordering, and maintenance of records for all controlled drugs.
  • Make sure that all Injuries or issues with assigned team members are reported to appropriate HRM, DIC, and/or Emergency Coordinators.
  • Oversee the general flow of the hospital.
  • Complete Vet Tech training levels 1, 2, 3, and 4 as defined by CTVSEH.
    • Implement and enforce a training protocol with technicians in regard to reviews.
    • Provide restraint of pets for examination and or treatment. Prepare medications for both outpatient and hospitalized patients.
    • Patient triage, drug calculations and CRI’s, venipuncture, critical care patient monitoring, bandaging and splints, and other specialized nursing duties.
    • Perform clinical laboratory procedures such as radiographs.
    • Prepare patients for anesthetic procedures by placing intravenous catheters and inducing anesthesia. Monitor patients during the procedure and recovery periods. Must be knowledgeable with anesthetic machines and monitoring devices.
    • Admit and discharge patients on doctor’s orders. Answer client questions on various aspects of follow-up care. Pass on information from the practitioners and explain the dosage/purpose of medications. Discuss the proper care and procedures that should be followed at home. Inform clients when they should have a follow-up examination.
  • The Team Lead and Shift Lead Oversee the auditing of treatment sheets for completeness and accuracy. Refer to the veterinarian for questions concerning treatments and charges.
  • Assist client care as needed
    • Communicating and resolving issues with clients as needed.
    • Troubleshooting office equipment, computers, and software.
  • Be available for addressing after-hour phone calls, texts, and emails from your team members in a timely manner or make the team aware of who to contact when you are not “on the clock”.
  • Assist with writing new SOPs, hospital documents, hospital forms, etc. after coordination with other EC TLs and with review by the CEO before any implementation.
  • Oversee the drug log at your location
    • Train appropriate staff members to complete drug logs routinely.
  • Ensure new hire paperwork is complete with HRM on the first week of hiring.
  • Give a tour of the facility and introduce new hires to staff and doctors if not completed by HRM at orientation.
    • Turn over to the trainer and be sure they know to come to their trainer or Team Lead for any problems.
    Skills and Knowledge - Essential Functions:
    Requires knowledge of hospital policy outlined in the current CTVSEH employee manual as well as those that are implied. Requires strong customer service, communication, and leadership skills. Strong initiative and resourcefulness in carrying out recurring assignments independently without specific instruction.

    General Task Requirements - Essential Functions:

    The physical demands described here are representative of those that must be met by the employee to successfully perform the primary functions of the job. While performing the duties of this job the employee is frequently required to bend and stoop. Employees may be required to stand for extended periods of time.
    Working overnight shifts, weekends, and holidays are required, on-call may be additionally required.
