Centers for Gastroenterology is Hiring a Medical Records Technician Near Fort Collins, CO

Position Purpose

The Medical Records Technician handles patients’ records in a secure, accurate and efficient manner. The Technician also processes record releases for disability, outside medical offices, patients, attorneys, coroners, and insurance companies.

Essential Job Functions

  • Manages incoming faxes and scanned records; distributes to proper process flows including records needing to be sent to providers.
  • Prepares procedure visits daily with H&Ps, last procedure information, completes add-on check.
  • Scans paper records, electronic records, procedure information, and all new visit information into EMR system.
  • Answers the phone; fills requests for immediate release of records; mails requests, copy charts, and maintains required log of activities.
  • Monitors the electronic interface for duplicate results and/or missing lab results.
  • Scans and tasks both lab distribution and pathology reports to the physician.
  • Monitor’s obituaries to send condolence cards; updates patient record as deceased in EMR system, as needed.
  • Monitor’s patient recalls in system and sends out patient letters when needed.
  • Answer patient emails in compliance with HITECH regulations and allow patients to receive their records electronically when requested.
  • Manage the share file to allow our business associates quicker access to records and more timely response to filling requests for records and patient data.
  • Understand and adhere to all HIPAA regulations to maintain our patients’ privacy.
  • Requires regular, predictable attendance.
  • Flexibility is essential for success with CFG and on occasion, our employees may be asked to complete projects and tasks that could be outside of their normal scope of duties.

Required Competencies

  • Time Management – Must be able to work under pressure and complete projects according to established timeframes.

· Demonstrated comfort with Windows-based computer systems.

Performance Measures

· Ability to understand and learn job policies and procedures.

· Ability to carry out job tasks.

· Low numbers of errors in electronic chart filing.

· Good customer service to peers, doctors within and outside the practice, and with patients.

Preferred Competencies and Experience

· Epic experience: 1 year

· Medical office experience: 1 year

Working Conditions and Physical Requirements

  • Ability to walk, stand, stoop, bend, or sit for extended periods of time.
  • Physical demands: percentage of time spent in each activity (estimate)
  • Walking 15% - assisting patients, delivering information personally to other departments, collaborating with other department employees.
  • Sitting 85% - answering the telephone, scheduling appointments and procedures in the call center, working at the front desk, working on the computer.
  • Number of pounds that must be lifted, carried, pushed or pulled: up to 20lbs.
  • Climbing on step ladders to reach top shelves, stooping, kneeling, crouching, reaching, fingering (like keyboarding, controls on a scanner, fax, etc.)
  • Ability to speak clearly to be understood by our patients and employees.
  • Ability to hear within normal range. Able to hear patients on the phone in a noisy call center/front desk environment.
  • Acuity near and far. Ability to see within normal parameters, and to distinguish colors.
  • Ability to work for extensive periods at computer keyboarding.
  • Works in a well-lit heated/air-conditioned environment. Temperatures between 68 and 74 degrees.
  • Work may involve exposure to communicable diseases, medicinal preparations and other conditions common to a clinic environment.
