About us

The Center's mission is to provide a permanent sanctuary for orangutans and chimpanzees who have been rescued or retired from the entertainment industry, from research, from the exotic pet trade, or from other situations where great apes need rescue and lifetime care.

The Office Coordinator manages office communications and facilitates essential tasks and procedures while overseeing general activities. The Office Coordinator interacts with guests, visitors, and vendors to provide the information needed to connect them to the correct staff member. In addition, the Office Coordinator provides administrative support for day-to-day activities required for the Center.

ESSENTIAL JOB FUNCTIONS:

  • Answer phone calls, and transfer callers politely and professionally.
  • Greet guests, visitors, tour participants, and vendors to the office and connect them with the appropriate staff.
  • Manage meeting room, book the space, anticipating, and arranging for any AV equipment needed to run the meeting, and room configuration.
  • Consistently maintain the general office area in a neat, uncluttered, and organized manner including light housekeeping duties (dusting, vacuuming, sweeping, emptying trash, and restroom cleanliness).
  • Coordinate routine maintenance and repair projects of all facilities, including offices and visitor quarters.
  • Assist with shipping and receiving logistics, including incoming mail and package deliveries.
  • Oversee safety needs (yearly fire extinguisher, keys, radios, first aid kits, hurricane supplies, and water testing and permitting).
  • Pick up post office box mail and make deposits.
  • Manage the cabin, cottage, and intern house.
  • Assist the administrative team (and other departments) with office support (printing, copying, phone calls, mailing, typing, errands, and deliveries).
  • Assist with the mailing of periodic update letters, appeals, membership letters, membership renewals, newsletters, and other mailings, including preparing labels, stuffing, stamping, & sorting for mailing and learn and follow all rules for non-profit bulk mailing.
  • Order supplies for the nutrition center, maintenance department, office and breakroom, and ape care department (including cleaning materials, animal supplies, maintenance supplies and equipment, office supplies, computer supplies, and staff t-shirts).
  • Keep track of purchases and maintain financial expenditures within the yearly budget.
  • Work with vendors to receive the best pricing for frequently ordered items.
  • Must represent The Center for Great Apes in a professional manner and act as a role model at all times.
  • Able to establish and maintain effective and professional working relations with co-workers and other department personnel, and to do so following The Center for Great Apes Employee Handbook.
  • Oversee Golf Cart charging schedule and coordinate cleaning.
  • Troubleshoot and problem solve issues as they arise.
  • Other duties as assigned.

EDUCATION/EXPERIENCE REQUIREMENTS:

  • High School Diploma or equivalent.
  • Professional and courteous phone voice.
  • Strong planning and organizational skills.
  • Able to deal with frequent change, delays, or unexpected events; strong prioritizing skills.
  • Efficient in work schedule and able to work quietly and independently in a shared office.
  • Computer literacy and proficiency in Microsoft Office Suite, Adobe Suite, and Google suite.
  • Experience and knowledge of various office equipment including but not limited to computers, fax machines, printers, copiers, label makers, and calculators.
  • Self-motivated: always looking for ways to do something better; forward-thinking planner.
  • Ability to see projects and tasks through from start to finish promptly.

PHYSICAL REQUIREMENTS:

  • Be able to lift 50 pounds and carry for a short distance routinely.
  • Be able to work outdoors in inclement weather, including rain, heat, and humidity, for extended periods (infrequently)
  • Ability to stand or sit for long periods of time (frequently)
  • Ability to crouch, kneel, and reach overhead (frequently)
