Position Summary: The Administrative Assistant performs clerical duties requiring general office experience, skill, and knowledge of organizational policies and practices for the Service Advisors Department.
Tasks:
• Answer incoming calls and respond to client, case manager or employee calls as appropriate
• Assist with distribution of renewal CDS Client budgets and continued correspondence as needed i.e. emails, faxes and 2067 forms
• Keep client records up-to-date with processing client status changes, address changes, etc. and assist with updating attendant pay rate change requests into the current systems
• Record discharges and transfers as necessary and deactivate files following established procedures
• Record payroll expenses into client budgets, reviewing for compliance, notify Service Advisor when client is exceeding budget or using more overtime than budgeted
• Prepare and distribute quarterly budget reports to clients and case managers/service coordinators and notify Service Advisor of any issues that require contact with client to ensure client stays within budget
• Timely completion of case manager quarterly and utilization review request within compliance deadline
• Ensure client documents are properly labeled and saved in designated file locations for electronic records dept.
• Provide support and back up to service advisor
• Maintain positive relationships and open communication with clients, client families, case managers, vendors, and all other business representatives
• Observe confidentiality policies at all times
• Comply with federal, state, & company policies, procedures, and regulations
• Perform other related duties as assigned
Skills/Attributes:
• Able to work independently
• Experience working with Microsoft i.e. Excel, Word
• Able to work with a team to accomplish goals and objectives
• Excellent time management skills
• Effective organizational skills with strong attention to detail
• Willingness to work with health care professionals, clients, families, and the general public
• Written and verbal communication skills are required to communicate effectively as appropriate to the needs of the audience
• Must be able to read, write and comprehend English; must be able to communicate efficiently in English
Experience and Education:
• High school diploma or GED required
• One (1) year of experience in the healthcare field highly desired
• Some knowledge of accounting field preferred
• Bilingual (Spanish) preferred
• Must be able to demonstrate competence with computer applications such as MS Word and
Excel and have the ability to readily learn agency specific software
• Proficiency in the use of database and spreadsheet software strongly desired
• Must be able to type 35 wpm with 80% accuracy, 80% accuracy in Excel, and 6,000 to 8,000 keystrokes proficient in 10-key
Physical Requirements:
• Sitting in a normal seated position for extended periods of time
• Reaching by extending hand(s) or arm(s) in any direction
• Finger dexterity required to manipulate objects with fingers rather than with words, hand(s)
or arm(s); for example, using the keyboard
• Communication skills using the spoken word
• Must be able to lift up to 50 pounds on a regular basis
• Ability to see within normal parameters
• Ability to hear within normal range
• Ability to move about
