Caton Consulting, LLC is Hiring an Office Administrator Near Rogers, AR

Job Overview:

We are seeking a highly organized and detail-oriented Office Administrator to join a Client's team in Rogers, AR. As an Office Administrator, you will be responsible for managing various administrative tasks, assist in coordinating office activities, supporting the Executive team with administrative tasks, and ensuring the smooth operation of the office.

This is a full-time position.

Duties:

- Contributes to company culture by exhibiting daily behaviors such as always looking your best, stepping outside of your comfort zone, and positively interacting with all internal and external clients/customers.

- Assists with directing office activities and functions to maintain efficiency and compliance with company and applicable Federal/State policies.

- Ensures all geopolitical regulatory licenses are maintained and updated

- Research and apply for regulatory licenses in additional states as required

- Submits security officer credentialing, fingerprinting and notifications of terminations to applicable credentialing agencies.

- Manages billing and payroll efforts for all company consultants

- Assists with property management activities such as building maintenance, communication with tenants, filing payment receipts and statements, paying invoices

- Creates and maintains Proposals and Scope of Work files and templates for all clients for efficient analysis and distribution. Including the onboarding of new clients with their proposals and SOW’s.

- Create, maintain and properly file client contracts and work to implement a Contract Management System.

- Manages vehicle inventory, location, maintenance, registration, insurance and eligible drivers list to ensure only authorized persons drive company and/or client vehicles.

- Prepares agendas, makes travel arrangements, and maintains calendars for the Executive team.

- Oversees telephone, email correspondence, mail distribution, check deposits, etc.

- Maintains office supplies inventory

- Maintains records, documentation, and files, particularly more complex or sensitive files such as employee files.

- Supports company operations by maintaining applicable office systems.

- Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, and monitoring clerical functions.

- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

- Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments as approved by the Executive team.

- Operates as the backup for all accounting functions. Payroll, invoicing, credit card receipt reconciliation, etc. QuickBooks entries such as recording payments, categorizing expenses and issuing checks.

- Acts as liaison between software and IT support and the company for things such as email creation, hardware and software issues, supply ordering, etc.

- Manages the access control for the building doors and assesses the cleaning done by outside janitorial service

- Manages signing and sending of anniversary and birthday cards for employees.

- Performs other related duties as assigned.

Experience:

- Excellent verbal and written communication skills.

- Excellent organizational skills and attention to detail.

- Excellent time management skills with a proven ability to meet deadlines.

- Ability to prioritize tasks.

- Ability to function well in a high-paced and at times stressful environment.

- Basic understanding of how to operate standard business equipment.

- Proficient with Microsoft Office Suite with emphasis on Excel, Word and PowerPoint
