Catholic Social Services of the Miami Valley is Hiring a Director of Finance and Administration Near Dayton, OH

Purpose of Position: Manages administrative operations of CSSMV while ensuring the smooth and continued operation of agency programs which align with agency mission and goals. Areas of responsibility include accounting, finance, planning, human resources, management information, information technology, facilities and pension management.

KEY RESPONSIBILITY AREA MAIN DUTIES (Not all inclusive)

I. Manages the agency’s accounting operations and management of staff in accounting area

· Completes annual audit accurately prior to May 15th of each year

· Responsible for completing a "clean" annual audit

· Completes monthly financial statements accurately and in a user-friendly manner

· Appropriately delegates responsibilities in this area

· Engages in and ensures that planning and coordination exists with program managers in the implementation of agency programming

· Recruits, hires, trains, orients, supervises and monitors qualified accounting staff and ensures that sufficient continuing education and support are provided to meet program responsibilities and contribute to agency mission

II. Manages the preparation and direction of the agency’s financial planning and budgeting

· Appropriately completes and receives approval for annual operating budget by January 1st, and within known budgetary constraints

· Budget revisions, if needed, are timely and appropriately communicated for internal implementation

· Keeps agency management and Board current by completing an accurate monthly financial analysis in a user-friendly manner showing the relationship of budgeted amounts versus actual amounts

· Discusses and problem solves budget difficulties with program managers/directors in a timely manner

· Submits accurate proposals and related budgets by assigned deadlines

· Ensures that strategic plan initiatives in this area are met

III. Manages the agency’s financial position

· Responsible for ensuring all debts and taxes are paid within terms

· Manages and balances agency finances within Board policies/plan and works to maximize investment income

· Keeps agency management and Board current by completing accurate monthly financial analysis indicating how agency cash has been managed and balanced, in a user-friendly format by the 25th of the following month

· Appropriately delegates responsibilities in this area

· Ensures that strategic plan initiatives in this area are met

IV. Manages the agency’s personnel policies and regulations and management of staff in Human Resources area

· Ensures personnel policies and procedures meet legal, funding, and accreditation requirements

· Holds agency administration accountable for following such requirements

· Develops and monitors equitable salary ranges and comparisons

· Ensures employees understand their benefits, salary and policies, and addresses concerns in a timely manner

· Appropriately delegates responsibilities in this area

· Ensures that strategic plan initiatives in this area are met

· Engages in and ensures that planning and coordination exists with program managers in the implementation of agency staffing

· Recruits, hires, orients, supervises and monitors qualified Human Resources staff and ensures that sufficient continuing education and support are provided to meet program responsibilities and contribute to agency mission

V. Coordinates the agency’s facility and risk management

· Addresses agency's safety and security issues in a time-appropriate manner

· Ensures agency facilities meet legal and regulatory safety performance standards

· Fulfills compliance issues via documentation from fire department or insurance audits by deadlines and working with administration/program managers

· Reviews and approves all agency contract agreements and monitors the fulfillment of contracts

· Responsible for keeping facilities competitively professional for staff and clients, which may include working with contractors, etc. to complete work

· Appropriately delegates responsibilities in this area

VI. Manages the agency’s management information systems (MIS) and management of staff in this area

· Oversees the maintenance and continued operation of efficient and contemporary information systems and processes

· Ensures agency network, server equipment and computer systems are kept operational and addresses issues in a timely manner

· Responsible for ensuring that contemporary security policies and measures are employed to maintain data security

· Appropriately delegates in this area

· Ensures that strategic plan initiatives in this area are met

· Engages in and ensures that planning and coordination exists with program managers in the implementation of agency programming through the use of information systems and other technology

VII. Acts as the agency’s EEO Officer and acts as internal resources on special agency projects

· Ensures submission and accuracy of required reports by assigned deadlines

· Responsible for agency compliance of government regulations

· Recommends resolutions in areas of non-compliance

· Ensures employees are notified of agency policy and changes thereof in a timely manner

· Appropriately receives and completes special agency assignments/projects within their budget and time restraints.

ADDITIONAL FUNCTIONS/RESPONSIBILITIES:

· Performs other job-related duties and activities as needed

· Gains knowledge of the appropriate use of all CSSMV forms and the operation of equipment

· Keeps supervisor informed and involved in the activity of projects, as necessary

· Assists in ensuring projects meet mutually agreed upon strategies and objectives

· Reads trade and other publications to keep current with industry issues/knowledge, as applicable

· Follows all professional standards for work area, license area, the agency and other agencies for which they may be collaborating

· May require flexible scheduling including evening or weekend hours; may require working additional hours, due to the nature of the position

· Most exempt positions require a valid Ohio driver’s license with a good driving record and access to a private, insured vehicle during working hours

· Rarely requires travel outside of the service area, however, occasionally to frequently requires travel within the service area

ADDITIONAL KNOWLEDGE AND EXPERIENCE:

· Contemporary computer knowledge, especially in Microsoft Word, Excel and Sage 100 ERP accounting software

· Ability to interact with a large variety of people in a professional manner

· Ability to organize and prioritize work and execute it efficiently and accurately

· Ability to handle confidential information appropriately

· Succinct communication skills, both verbal and written; ability to organize thoughts in a logical, clear and concise manner

· Ability to train adults

· Familiarity with regulations/laws in work area(s), including keeping current with revisions of such

· Ability to make independent decisions

· Ability to adhere to agency policies and procedures within a Catholic social service setting

PHYSICAL:

· The employee is occasionally to frequently required to reach with hands and arms, stand and walk

· The employee must frequently to occasionally lift and/or move up to 10 pounds and occasionally to rarely lift and/or move up to 25 pounds

MATHEMATICAL SKILLS:

· Ability to work with concepts such as probability and statistical inference

· Ability to apply such concepts as fractions, percentages, ratios, and proportions to practical solutions

· Ability to comprehend and apply bookkeeping and accounting principles

· Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume

· Ability to apply concepts of basic algebra and/or geometry

MINIMUM EDUCATION, KNOWLEDGE, AND EXPERIENCE:

· Strong understanding of General Accepted Accounting Principles and General Ledger Accounting

· At least 5 years Experience with governmental / nonprofit accounting principles and procedures

· Strong working understanding of the implementation and use of electronic accounting records systems

· Strong experience and working understanding of an organization’s technology management (hardware and software)

· Experience or education in Human Resources preferred

· Experience working in a non-profit organization

· Commitment to CSSMV’s mission and goals and a knowledge of the Catholic faith

· Bachelor’s degree in accounting or equivalent experience required

· At least 5 years experience in the area of financial statement preparation, budgeting, payroll, purchasing, accounts payable and receivable and working with an automated financial management system

· At least 4 years management experience perferred

- Agency staff at all levels and at the different locations - public/community
