At Catholic Charities, Diocese of Pittsburgh, we’re seeking an experienced Administrative Assistant to provide clerical support in our Challenges Options In Aging Office.
The Administrative Assistant role provides needed support for our older adult care management and center services.

Administrative Assistant Key Performance Objectives Include:
  • Accurately records data for agency programs in the PA Department of Aging database.
  • Coordinates the enrollment in transportation services by reviewing intake and linkage to the county coordinated transportation program.
  • Answers telephone calls in a courteous, professional manner, directs calls to the appropriate staff or resource and takes messages when necessary to ensure efficient agency operation.
  • Sorts and date stamps mail and other agency materials, e.g. packages or special deliveries and forwards to Administrative Assistant for distribution.
  • Serves as the Voter Registration Designee for the agency which includes monitoring staff training compliance and certifications as required by PA Department of Aging.
  • Prints staff business cards as needed. Completes ordering of stationary and sympathy cards as needed.
  • Files correspondence, documents, and records in appropriate file to assure access and retrieval of materials.
  • Transcribes correspondence, documents, and reports from written or voice recorded source material in order to provide presentable, understandable, and accurate information.
  • Maintains consumer confidentiality in communications with consumers, staff, and other contacts at all times to preserve consumer and staff rights.
Minimum Qualifications:
  • A high school diploma or equivalent is required.
  • A minimum of two years of administrative support experience is required.
  • Proficiency with Microsoft Office (Work and Excel) is required.
  • Excellent proofreading and grammar skills are required.
  • Excellent verbal and written communication skills are required.
  • The ability to multi-task and meet established deadlines is required.
  • A demonstrated record of providing a high level of customer service is required.
  • Act 33/34 clearances are required.
