Overview

Area / Program Focus: Grants – government/public, private, and foundations

Position Summary: The Senior Grants Manager is responsible for the agency’s government and private foundation grant proposals that raises $5-6 million (and growing) in grant funds per year in support of the agency’s strategic vision. The Senior Grants Manager is a member of the agency’s Senior Management team, and works with the Chief Program Officer the CEO and agency leaders to set grants fundraising strategy and goals for the agency overall, as well as creates and executes specific grants fundraising plans for each of the agency’s key programs based on their needs and goals. The Senior Grants Manager conducts strategic research to identify potential grant sources, prepares grant submissions, tracks grant awards, and works closely with grant funders.

Reports to:Chief Program Officer

Supervisory Responsibility: Directly supervises 2 full time employees within the grants department and may supervise additional subordinate staff as determined by the Chief Program Officer and the CEO.

Budget Administered: Direct department budget up to $350,000; responsible for $5-6 million in grant fundraising for the agency, with that figure increasing with the growth of the agency.

Core Responsibilities:

  • Lead a team of 2.5 FTE including training, supervision, work assignments, and professional development.
  • Under the direction of the Chief Program Officer, direct and manage agency grants processes from prospect research, to application planning, to application compilation and submission, to award review, signature, and tracking.
  • Identify and evaluate all potential grant opportunities (public and private), present them to the Chief Program Officer and determine whether the agency should apply based on an evaluation of financial alignment, program and service sustainability, strategic alignment, implementation needs/requirements, and application complexity/requirements.
  • Under the direction of the Chief Program Officer and other departmental leaders as appropriate manage the creation of the project management plan for all grant proposals, including roles, timeline, creation of required components, review, and submission.
  • Under the direction of the Chief Program Officer, review and approve all grant requests before grant proposals are written or submitted for the funding opportunity.
  • Support award review, signature, and tracking process for awarded grants.
  • Maintain a comprehensive record of all pending, awarded, and declined grants using Salesforce or other designated organizational database.
  • Regularly analyze and report on the outcomes of the Grants Department to agency leadership, providing insights and recommendations for strategic adjustments based on the findings.
  • Ensure accurate and up-to-date tracking of grant-related data to support informed decision-making and enhance the effectiveness of the Grants Department. Work with the Chief Program Officer and other organizational leaders to determine which grants revenue to include in the yearly Agency Budget.
  • Engage in ongoing quality improvement efforts by regularly assessing department for inefficiencies and risks, putting policies and procedures in place to remedy inefficiencies and mitigate risks.
  • Establish and maintain positive relationships with government and private grantors and agencies.
  • Implement policies and procedures in line with accreditation standards. Implement performance and quality improvement process in compliance with agency’s processes. Ensure that all employees in department or program understand these and work accordingly.

Success Metrics:

  • Meet or exceed grants amount included in yearly agency budget.
  • Plan for sustainability of grant funding with agency and programmatic leadership.
  • Establish and maintain professional relationships with all grantors.
  • Prioritize professional development of department staff.

Qualifications


Qualifications/Requirements:

  • Bachelor’s degree required in a relevant field such as business administration, nonprofit management, finance, or a related discipline. Other applicable fields of study may include writing and social sciences. Master’s degree in Public Administration, Education Administration, Nonprofit Management, or Business Administration Preferred.
  • Track record of successful grant fundraising with 4-6 years of experience required.
  • Management experience of a minimum of 3 years including personnel management.
  • Project management experience and familiarity with electronic databases (i.e. Salesforce)
  • Must be proficient in Microsoft Office products (Word, Excel, PowerPoint, Outlook). Advanced skills in Microsoft Excel preferred.
  • Must be familiar with nonprofit finances and fund accounting and able to read financial reports.
  • Must be able to prioritize responsibilities and handle multiple tasks and deadlines.
  • Ability to work closely with other employees to ensure positive, constructive environment within the department, and throughout the agency.
  • The ability to exercise good judgment in confidential matters required.
  • Excellent verbal and written communication skills required.
  • Excellent organizational skills required.

Physical Requirements:

  • Requires ability to sit up to 6-8 hours per day with intermittent occasional walking, standing, bending, and squatting.
  • Occasionally may be required to lift items up to 25 pounds to a height up to 3 feet.
  • Occasionally may be required to carry items up top 10 pounds for distances up to 500 feet and up to 25 pounds for distances up to 20 feet.

Necessary Forms of Communication: Reading, writing, hearing, and speaking English. Competent in using virtual platforms (Zoom, Microsoft Teams, etc.)
