Opportunities for AdvancementSTATEMENT OF THE JOB The Access Manager is responsible for administrative oversight and direction of the referral process and promoting access to the Article 31 and 32 clinics and day-to-day operations of the scheduling team. Develops and implements procedures, systems, and workflows to support training, compliance, and quality of scheduling services, including assuring rapid access to care for individuals seeking services based on their identified needs/risk level. Serves as an advocate for the individuals who CCNS support, liaising with families, clinical directors, supervisors, and external referral resources, as well as Compliance and Quality, and the CCBQ Call Center staff, Billing Department and other departments or entities to facilitate and coordinate services or to secure appropriate access and eligibility for new and existing CCNS clients.The Agency has embraced the concept of a fully integrated system of care for all consumers of service. The Access Manager will be required to always maintain a professional and ethical disposition. All staff are required to read and commit to fulfilling the Agency and Integrated Health and Wellness Mission Statement. All staff are required to comply with all funding sources and CCNS requirements for background checks including fingerprinting for criminal background checks; database checks; and any others required by either CCNS or the program’s funding source. • Promotes and maintains the excellence of scheduling-related functions through oversight of day-to-day operations, directing scheduling of clients and staff, and activities and ensuring compliance with applicable rules and regulations.• Manages the intake/admissions process for incoming clients, supporting risk screenings and triage of clients with urgent needs so that they get rapid access to services through CCNS’ open access times. • Monitors client access data regularly, assuring that all clients are provided access to an intake appointment within the regulatory timeframes of OMH/OASAS and SAMHSA. • Ensures scheduling staff meets the needs of the people we support, as well as agency and operational standards through regular supervision, training, evaluations and monitoring productivity in coordination with the Planning and Evaluation Department.• Oversees and completes review of referrals for insurance and program eligibility and/or manages referrals in registration through prioritizing, tracking, and delegating based on need.• Organizes and leads department meetings, providing updates, training and information on scheduling-related systems, procedures and workflows and addressing concerns, issues and/or questions.• Regularly monitors access data (e.g., time from referral receipt to service delivery), reporting, analyzing, and guiding activities that influence the work of the Access Unit.• Develops, implements, and maintains processes, systems and workflows that support quality assurance and compliance for Referral Tracking and Appointment documentation, Electronic Health Record (EHR) documentation, including compliance with HIPAA regulations and other related scheduling functions.• Acts as an intermediary on difficult cases, keep leadership team informed of the status of problematic situations.• Processes access calls, verifies insurance, and assists with collecting client balances.• Serves as primary liaison with Billing Department to assure proper eligibility checks, escalates complex cases or reviews and ensures authorizations are obtained; coordinates eligibility and insurance-related trainings regarding changes for scheduling staff.• Coordinates with IHW staff to improve communication, access, and service delivery to associated CCBQ Programs, developing and implementing effective systems and workflows to increase access, effectiveness, and connections to services.QUALIFICATIONS• Bachelor’s degree in health sciences, Human Services, or related area• Five (5) years of patient-facing, clinic, or hospital experience as a supervisor in the areas of scheduling, admissions, treatment coordination and/or customer service; or• Five (5) years of experience working with the I/DD population in any OPWDD service setting or role (day, residential, etc.) • Three (3) years of supervising staff• Strong knowledge of health insurance benefits preferred• Strong computer skills, including the ability to learn/use Electronic Health Record (EHR) software to effectively carry out essential business processes.• Proficient in Microsoft Office Suite, specifically Word, Excel and PowerPoint• Exceptional interpersonal, problem solving and communication skills.• Ability to take initiative.• Must be flexible personality type.BENEFITS We offer competitive salary and excellent benefits including: • Generous time off (Vacation/ Personal Days/ Sick Days/ Paid Holidays annually) • Medical, • Dental • Vision • Retirement Savings with Agency Match• Transit * Flexible Spending Account • Life insurance • Training Series and other additional voluntary benefits. For more information on our organization, please visit our website at: www.ccbq.org EOE/AA. Apply Online: https://us231.dayforcehcm.com/CandidatePortal/en-US/ccbq/Posting/View/1563
