Cascade Hasson Sotheby's International Realty is Hiring a Front Desk Administrator /Resource Coordinator Near Sisters, OR

Office Management

  • General Open/Closing Duties: Daily Management of general office open and closing duties.
  • Greet Visitors: Welcome all guests to the office and promptly notify whomever the client is there to see. Ensure everyone that walks in to the office is offered a bottle of water and/or cup of coffee.
  • Phones: Answer and direct all incoming calls. Take messages and deliver to brokers as needed.
  • Mail distribution: Process and distribute all incoming mail. Liaise with Fed-Ex, UPS, USPS, etc for all incoming and outgoing packages. Ensure that any commission checks that are delivered are taken to our transaction manager immediately.
  • General Office Supplies: Maintain and order necessary office supplies from appropriate vendors for the office. Orders will be placed on the 1st and 15th of the month.
  • Office Building Maintenance: Communicate with Landlord for the office if there are any items that need fixed or maintenance issues that need addressed.
  • Cleaners: Manage cleaners, ensure office is being cleaned regularly and ensure the service level is meeting CSIR expectations. Communicate with cleaning company if any needs are not being met.

Broker Support

  • Floor Schedule: Organize, schedule and manage floor scheduling each month for brokers. Each month’s floor schedule will be posted on the 25th of each month.
  • Systems & Tools: Know how to use all systems & tools, as well as help the brokers when they have general questions about systems & tools. Understand when to make a recommendation and recommend them to another staff member as needed.
  • Broker Support: Be available to assist brokers with their daily questions regarding general inquiries, broker services and systems & tools. Help facilitate their requests to ensure they utilize the correct staff member responsible for the task being asked for assistance on.

Operations Assistance

  • Company Events: Assist and manage coordinating office/company events.
  • Haves, Wants, Wins & Tour: Email the Central Oregon brokers requesting their HWW & Tour items.
  • Agent Training: Facilitate agent onboarding and offboarding processes to focus on maximizing efficiency and resource utilization.
  • Marketing Material Management: Order, print, invoice agents, bind marketing materials (Marketing Service Packets, Listing Presentations, Flyers etc.) manage marketing inventory supplies weekly.
  • Interdepartmental Liaison: Serve as a liaison between departments, fostering collaboration between agents and the corporate office. Support agents and other team members throughout the company.

Qualifications:

  • Real Estate background a plus
