POSITION SUMMARY:

The Business Services Manager is a supervisory level position relative to the district's central budgeting and accounting activities. Supervises and coordinates activities of employees engaged in calculating, posting, and verifying duties to obtain and record financial data for use in maintaining accounting and statistical records by performing the following.

QUALIFICATIONS:

  • Bachelor's degree (B. S.) from four-year college or university in accounting or business preferred.
  • At least two years related experience and/or training in public or private sector accounting; or equivalent combination of education and experience.
  • IVP Fingerprint Clearance card is required.

DUTIES AND RESPONSIBILITIES:

  • Oversees purchasing, accounts payable, & warehouse functions.
  • Assisting the Business Services Director with budget, financial and certain human resources functions.
  • Advises Business Services Director on business and financial questions.
  • Prepares financial reports as required by county, state, and federal agencies; maintains record files pertinent to county and district.
  • Maintains revolving fund account; prepares and posts revolving voucher on computer.
  • Monitors and develops systems of internal control in areas of financial management and operations.
  • Works directly with auditors during the annual school district audit to provide financial information requested.
  • Audits and classifies invoices for payments; performs routine audits; makes routine verifications in accordance with established procedures; interprets and applies appropriate rules and regulations; answers questions regarding account balances.
  • Monitors the recording of accounting transactions, verifies that receipts and disbursements are controlled and properly recorded; interprets financial data for proper recording, making journal entries as needed.
  • Communicates and coordinates accounting policies, practices, and procedures with department and company managers and officials, vendors, reporting agencies, clients, customers, and the public.
  • Provides comments and recommendations regarding work produced and work habits of subordinates as related to the accounting systems and procedures.
  • Reviews GAAP and GASB guidelines and updates
  • Prepare financial reports for grants.
  • Prepares cafeteria reimbursement claim
  • Responsible for business office in absence of Business Services Director.
  • Responsible for supervision and training of accounting office staff; Deals with personnel problems and provides suggestions for improvement in techniques and systems.
  • Manages subordinate supervisors in the Bookstore and Warehouse, and is responsible for the overall direction, coordination, and evaluation of these units.
  • Works closely with Warehouse and Auxiliary operations to maintain compliance of U.S.F.R.
  • Directly oversees subordinate employees in the Accounting department.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • Reconcile Capital Assets
  • Import Bookstore Revenues
  • Reconcile Bookstore Accounts
  • Manage Bookstore Software (Intouch Receipting)
  • Process flex account payment
  • Assist with PAR approvals

SUPERVISORY RESPONSIBILITIES:

  • Directly supervises employees. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include decisions related to selection, performance appraisal, discipline and salary?recommendations.?
  • Build strong and empowered teams by providing direction, delegation, counsel, mentoring and expertise to individual team leads, while retaining overall responsibility and accountability for results.?
  • Promote and encourage the development, training and promotion of staff members to assure the perpetuation of a professional and competent workforce.?

  • Mathematical Skills - Ability to apply advanced mathematical concepts such as exponents, logarithms, quadratic equations, and permutations. Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factor analysis.
  • Reasoning Ability - Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Ability to deal with nonverbal symbolism (formulas, scientific equations, graphs, etc.,) in its most difficult phases. Ability to deal with a variety of abstract and concrete variables.
  • Computer Skills - To perform this job successfully, an individual should be proficient in a Windows environment and have knowledge of Microsoft Office software such as Word, Excel, PowerPoint and Outlook. Should be knowledgeable in Accounting software; Contact Management systems; Database software; Internet software; Inventory software; Payroll systems; and Project Management software.
