POSITIONSUMMARY:
TheAssistant to the Vice President supports the Vice President in logisticalmatters necessary to run the division and to interact with fellow Cabinet-leveloffices. In addition to managing the VP's calendar and some routinecorrespondence, the Assistant to the VP ensures timely collection and reportingof relevant data to support the Division of Marketing and Communications (DMC)strategic plan and supports general office operations. The Assistant to the VPpostion requires strong organizational and communication skills and handles ahigh degree of confidential, sensitive information and must exercisediscretion, sound judgment and solid decision-making.
DUTIESAND RESPONSIBILITIES:
Manages the VP's calendar; drafts, edist and issues officialcorrespondence; assembles meeting agendas and produces meeting minutes andreports; plan divisional events; and manage division messaging.
Oversees the maintenance of a divisionaldata bank, taking direction from DMC Leadership Team managers. Ensureconsistency of terms and tagging, timely updating, and pertinent report-outs.
Maintains records for and track sick, FMLAand vacation leave for the division and assist with payroll.
Proofreads DU Times,Official Communications, and select media advisories.
Route callsand inquiries.
Completes otherduties as assigned.
REQUIREMENTS:
Minimum qualifications:
Bachelor's degree in communications, marketing, business, English or relatedfield from an accredited institution and minimum of 5 years' experience in asimilar professional or executive assistant role.
Strong MS Office Suiteskills are required, and some CMS experience desired.
Excellent communicationskills (written and verbal) required.
Experience operating withthe highest level of confidentiality at all times and strong working experiencewith calendar management, travel arrangements, meeting preparation andlogistics.
Experience interacting withexecutive leadership, particularly in an academic or knowledge-richenvironment, highly desired.
Experience with MicrosoftTeams or another collaborative virtual workspace software is required.
Preferredqualifications:
Experiencesupporting C-level preferred.
A preference for proofingand editorial experience.
Alternately, thesuccessful candidate may possess any equivalent combination of experience andtraining, which provides the knowledge, skills and abilities required toperform the essential job functions. This includes, but is not limited to, thefollowing:
Excellentcalendar management and event/meeting planning skills required.
Excellentwritten and oral communication skills required, with an emphasis on diplomacyand tact.
Excellentability to maintain confidentiality.
Strongcollaboration, interpersonal communication, and problem- solving skillsrequired.

Strong dataentry, management, and reporting skills required.
Strong ability to synthesize and prioritize information andtasks for leadership desired.
Proficiency with CMS software desired.
Knowledge of marketing and communications office trendspreferred.
