On-site Homeowners Association Manager
· 319-unit San Diego homeowners association
· Casual office environment
· Prior experience in property management required.
· Flexible office hours
· Hybrid schedule (in-office/remote)
· 32- 40 hours/week
· Responsible for handling all aspects of association management pertaining to the maintenance and administration of the complex.
· Open for immediate start.
Job responsibilities include:
Accounting:
· Accounts receivable/payable
· Bank deposits
· Process weekly payroll for 8-9 employees
· Process 1099 forms
· Follow procedure for delinquent accounts
· Monthly reconciliation of financial statements
· Assist Board with the preparation of the Annual Budget
· Organize and prepare information for the Reserve Study
· Prepare information necessary for the Annual Financial Review
· Ensure that federal and state tax returns are filed on time and that taxes are paid when due
· Track the Certificate of Deposits with the Reserve Account for maturation dates
· Keeping and maintaining all association financial records
· Maintain the ACH files with the association’s financial institution
Personnel:
· Supervise Property Inspector
· Maintain Employee Files
· File necessary employee information with the state of California
Administration/Management
· Maintain and organize all association records
· Respond to all telephone calls and emails from homeowners
· Assist homeowners/residents with concerns and complaints
· Enforcement of the governing documents
· Maintain files for violations/hearings and follow-up
· Prepare Board packets for Board meetings
· Attend Board meetings.
· Process Architectural Change Requests
· Solicit proposals for services as directed by the Board
· Work and coordinate with vendors/contractors for the duration of projects
· Administrate capital improvement projects
· Prepare work orders for repairs, clean-up and maintenance
· Distribute required membership communications adhering to the time deadlines
· Keep up-to-date with new legislation
· Organize the Annual Meeting
Escrows/Loan Documents
· Complete escrow demand statements and update as necessary throughout escrow
· Transfer procedure to new owners/welcome packet to new owners
· Complete lender certifications
Insurance:
· Maintain blanket fire/hazard/liability insurance coverage
· Maintain Directors and Officers insurance coverage
· Maintain Fidelity Bond coverage
· Maintain commercial auto coverage
· Maintain workers’ compensation insurance
· Meet with the Premium Auditor annual for workers’ compensation audit
· Handle insurance and workers’ compensation claims
Salary range- $68,000 to $80,000 commensurate with experience.
