Careers & Job Opportunities | Staff Management is Hiring a Manager, MSP Program Near Chicago, IL

Staff Management | SMX has a great opportunity for a Program Manager for our Managed Service Provider (MSP) clients. The fast-paced environment of our organization requires the Program Manager to use judgment to prioritize work, handle multiple projects at once, and meet objectives. 

The MSP Program Manager drives revenues, profit, client strategy and client retention. This role will support strategy, operational initiatives, and growth, as well as provide leadership to the MSP team. This role is held accountable to deliver on the Staff Management | SMX strategic business plan targets for both revenue growth and segment profit contribution. In addition, this position requires an extremely perceptive person, who can relate to individuals at all levels. 

The typical schedule for this position will be Monday through Friday from 8am to 5pm but must be able to work outside of these hours when necessary. We actively support client locations across the United States, and this requires a shift in a typical work schedule from time to time to effectively meet with East Coast or West Coast sites.

Salary Range: The salary for this position is anticipated to range between $72,000 - $90,000 per year. This range is a good-faith estimate, based on the qualifications necessary for the position, including but not limited to experience, training, and other considerations permitted by law. Factors that may be used when making an offer may include a candidate’s skills and experience, the expected quality and quantity of work, and internal pay alignment, as needed. Essential duties and responsibilities include the following:

  • Manage and lead a team to provide support, guidance, and help prioritize the workload.
  • Dedicated to meeting the expectations and requirements of internal and external customers.
  • Work with the team to ensure that when disruptions/issues occur in service delivery, these situations are resolved quickly to meet the client’s expectations.
  • Identify, recommend, and implement changes and measure key performance metrics to improve revenue and segment profit.
  • Manages tactical relations with Suppliers and acts as a liaison between the customer’s and supplier’s senior management.
  • Expected to meet or exceed client satisfaction expectations and SLA’s.
  • Utilizes program management skills of communication, presentation, time management, organization and planning to successfully achieve program goals and objectives.
  • Establishes and maintains relationships with all Suppliers and Client’s Hiring Managers.
  • Coordinate and lead weekly calls with the MSP team with an agenda and follow ups to action items.
  • Conduct and contribute to weekly/bi-weekly client sponsor calls.
  • Contribute to all SOP's and ensure that they are all completed and saved to shared drives.
  • Process payroll weekly for all clients within MSP.
  • Obtain and follow up with suppliers on the weekly hours for their workers at the client sites.
  • Obtain and follow up with Hiring Managers on client approvals for supplier hours.
  • Enter Hiring Manager approvals in Stafftrack and tracker sheet.
  • Work with NCD to submit NCD tickets to have India Team enter manager approvals in Stafftrack and review attestation documents.
  • Create agendas and meet with Suppliers and Hiring Managers weekly/bi-weekly/monthly and follow up on their requests/questions.
  • Review weekly client invoices and submit invoices to the clients.
  • Submit Supplier Reverse Invoices to AP Smartsheet Portal on a weekly basis.
  • Work with Accounting on any rejected or unapproved invoices for follow up with the client on Purchase Order (PO) issues.
  • Create work orders to submit payment for taxes to suppliers in cities or states that have a sales tax.
  • Audit for any missing Hiring Manager hours approvals to ensure we obtain and retail all manager approvals for Sox Compliance.
  • Review open orders and status in Stafftrack.
  • Review Take Actions in Stafftrack and follow up for completion.
  • Ensures all documents and files are in Teams by building folders and reviewing files in Teams.
  • Onboard new suppliers when needed, which includes intake calls, sending contracts and other documents for completion, work with accounting to set up new supplier in Oracle, set up supplier in Stafftrack, and provide supplier training. 
  • Submit IT tickets for any Stafftrack issues, and work with Stafftrack Team to resolve.
  • Assist with Stafftrack system testing of any new functionality and enhancements.

Education and/or experience

  • Bachelor’s degree with 4 years of related experience in MSP.
  • 1 years supervisory experience.
  • Demonstrated high level of energy, initiative, internal motivation, and an ability to work collaboratively across all levels of the organization.
  • Ability to make well planned, clear, and concise decisions and to uphold the necessary supporting actions through completion.
  • Skills in data analysis and intermediate Excel skills. 
  • Experience with one or more VMS tools preferred (Fieldglass, XRM, IQ-Navigator, Beeline, Coupa, SmartTrack, Elevate, or VNDLY) or Stafftrack systems configuration.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers.
  • Strong written and verbal communication skills, and flexibility in a fast-paced setting. 
  • Strong organizational skills, attention to detail, and ability to prioritize and plan effectively.
  • Independent judgment and creative problem-solving skills.
