GENERAL STATEMENT OF RESPONSIBILITIES:
The Staff Assistant provides efficient and professional program coordination and implementation for all career and technical training open enrollment programs to the Center for Corporate and Professional Education (CCAPE) at Cape Cod Community College. The position requires strong administrative skills and experience, a high level of organization, excellent communication and interpersonal skills and robust computer skills. Problem-solving skills, flexibility, and the ability to cooperate with others in a complex and varied environment are essential, as is the ability to manage multiple tasks and be self-directed in day-to-day office operations.
EXAMPLES OF DUTIES:
1. Provide comprehensive outreach, administrative support, coordination, and implementation of all non-credit career and technical training open enrollment programs for the CCAPE department including the following:
a. Manage communication, including answering phones, responding to email, texting (when applicable), coordination/scheduling of internal and external meetings (in-person and Zoom), and providing exceptional customer service assistance to students, staff, instructors/trainers, the community, external partners, and local employers.
b. Plan, develop, and manage career and technical training open enrollment classes and programs each semester.
c. Register students and participants into college registration system (Jenzabar).
d. Manage and maintain communication and coordination efforts with CCAPE instructor/trainers.
e. Maintain and update online registration platform (CourseStorm), SurveyMonkey, Salesforce, Trello and other related software/databases.
f. Engage in community outreach and assistance with student recruitment efforts.
g. Coordination and management of enrollment, attendance, program contact hours, monitoring progress/status in courses, referrals to support services, course evaluation creation/review, and career placement, when applicable.
h. Assist with and maintain career and technical education and contracted training related inquiries, both externally and internally.
i. Coordinate scheduling and prepare/launch in-person and Zoom classrooms for orientations, meetings, and class/training programs.
j. Maintain excellent working relationships and communication with all relevant partners, agencies and internal and external stakeholders.
k. Assist in the compilation and organization of information from different sources to develop agendas, meeting materials, and monthly and quarterly reports for internal, external stakeholders, and funders;
l. Manage and maintain Continuing Education Credit/Unit applications, provide CEU certificates for eligible classes and maintain records issued.
m. Assist in the administration, implementation, and compliance of CCAPE grant awards.
n. Assist in accounts payable duties for CCAPE.
2. Conduct and maintain email marketing using Constant Contact.
3. Post/manage content on CCAPE's social media platforms.
4. Other related duties as assigned.
5. Provide evening coverage as needed during busy periods.

COMPENSATION: Annual Salary Range of $53,000-$58,000, dependent upon qualifications and experience. Full-time, 12-month, Non-Unit Professional Position. Includes participation in a comprehensive employee benefits program including option for membership in the Massachusetts State Employees' Retirement System.
