Cambridge Public Schools is Hiring a Communication & Outreach Specialist (0.75 FTE) Near Cambridge, MA

Position: Communications & Outreach Specialist (0.75 FTE/30 Hours per Week, 12 Months)

Out-of-School (OST) Time Network Associate/Office of Academics & Schools

Overview:

This position’s purpose, focuses and expected impacts are rooted in several of the Agenda for Children Out-of-School Time (AFCOST) Core Beliefs. For example:

  • Our work is guided by data, research and best practices, all of which are necessary to raise awareness about how success is possible for all young people and to advance the growth of the OST field.
  • For all young people to succeed, barriers to equity and access need to be directly addressed.
  • All young people have the desire and capacity to succeed and contribute to their communities if provided with access to appropriate resources and supports.
  • Young people and families are better served when the systems and institutions that support them are aligned and connected.

The Role:

Communications and Publications:

  • Complete outreach across Cambridge’s landscape of out-of-school time (OST) programs in Cambridge to compile information needed to design for Summer and After School Guides and other resources for CPS students, families and educators
  • Also, keep electronic/live version of the Resource Guides up to date throughout spring (for summer guide) and fall (for afterschool guide) by reaching out to programs about availability
  • Edit information into existing or edited format and polish for printing
  • Manage spreadsheet for texting initiative to CPS families
  • Communicate with associated stakeholders and gather information for upcoming family engagement events, opportunities, important deadlines, meetings, tips and tools to navigate systems, statistics: that promote school, OST programs and healthy parent/child relationships, positive and uplifting quotes.
  • Help Elementary School-OST Network (ESON) & Middle School Network (MSN) coordinators create newsletters and blogs using NEON CRM and Constant Contact formats, templates and platforms
  • Design content with AFCOST branding to use for all student and family-facing resources (example: 2023-24 Winter-Spring OST Activities Slideshow)
  • Assist OST providers and coordinators in compiling photo and video ‘stories’ that can be used in recruitment of young people in schools
  • Organize photos and manage photo release process to create library of photos and videos from different programs

Direct Outreach to Families:

  • Email and text Bi-weekly reminders to parents
  • Phone calls to families (when needed) to support summer and afterschool program follow up

Facilitation:

  • Attending MSN & ESON Meetings (two per month)
  • Providing logistical support and zoom support for gatherings
  • Take attendance, notes, assist in managing zoom meetings or in-person meetings.

Data Management, Analysis and Visualization:

  • Clean data and understand data structures required for analysis and useful application by our school based staff
  • Follow up with organizations to submit enrollment data
  • Create and contribute to dashboards, infographics, data visualizations and other forms of analysis based on data describing enrollment patterns in Cambridge out-of-school-time programs

Other Duties as Assigned.

Your Skill Set:

The incoming Communications & Outreach Specialist for OST will possess many, though perhaps not all, of the following characteristics and qualifications:

  • Desire to get to know Cambridge institutions, schools and community organizations
  • Understanding of the barriers that young people face in accessing opportunities
  • Quantitative analytical skills
  • Excellent organizational and interpersonal skills
  • Problem-solving through independent research and collaboration
  • Team-oriented approach
  • Working toward advanced in Microsoft Excel
  • Graphic design and communication skills, background or experience (preferred, but not required)
  • Excellent communication skills with many different audiences
  • Ability to communicate, interact, and work effectively and cooperatively with people from different ethnic, educational, and socio-economic backgrounds.
  • Experience in and commitment to data collection and collection and analysis, program planning, noting taking/documentation.
  • Proficiency and/or commitment to developing proficiency with Office products, Google and Zoom.
  • Minimum High School Diploma

Terms of Employment: Part-time, 30 hours per week, 12 months per year.
