Position Description
      Position Summary
      Full-time position available on or after July 1, 2024 for the Nursing Department.

      Under general supervision of the Department Chair, The Administrative Support Coordinator I plays a crucial role in providing comprehensive clerical, administrative, and logistical support to multiple programs within the ASBSN, Health Science, and RN-BSN departments. This position ensures the smooth operation of program activities by coordinating various tasks, managing records, and providing comprehensive administrative support faculty, staff, and students.

      Job Duties

      Duties include but are not limited to:
      • Serves as a resource for department and public on university and department policy and procedures.
      • Coordinate clerical and administrative support functions for assigned programs, handling a variety of tasks with accuracy and efficiency such as such as preparing and submitting reports, maintaining records, managing payroll, ordering supplies, and assisting with class scheduling and curriculum management.
      • Track, monitor, and coordinate department or program budgets, oversee cash handling processes, managing department finances, and processing various financial transactions.
      • Provide support for event logistics, managing contracts and agreements, coordinating publicity materials and activities, and supporting community outreach efforts. assigning duties, training, leading, and coordinating the work of student assistants.
      • Maintain and update program databases with accurate and current information.
      • Facilitate communication between faculty, staff, and students by disseminating relevant information via email, newsletters, and other communication channels.
      • Ensure accurate record-keeping for student progress, including grades, attendance, and program completion requirements.
      • Assist in ensuring compliance with regulatory requirements, accreditation standards, and institutional policies related to the programs.
      • Provide administrative support for program committees, including scheduling meetings, preparing agendas, and documenting proceedings.
      • Assist faculty, staff, and students with technology-related issues, such as troubleshooting software problems or coordinating equipment maintenance.
      • Collaborate with student services departments to provide holistic support for student success, including referrals to counseling, tutoring, and academic advising services.
      • Other duties as assigned.

      Minimum Qualifications

      Education: Completion of a high school program, technical/vocational program, or their equivalents.

      Experience: Several years of related office work experience.

      Preferred Qualifications

      • Bachelor’s degree in a related field.
      • Two years of experience in administrative support roles.
      • Experience working in a higher education environment.
      • Experience in financial management, including budgeting, monitoring accounts, and processing financial transactions.
      • Experience with travel and expense management software (e.g. Concur).
      • Experience with integrated business software (e.g. PeopleSoft).

      Knowledge, Skills, Abilities

      • Experience to be fully functional in all technical aspects of work assignments.
      • Ability to understand and operate in a variety of organizational structures.
      • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
      • Thorough knowledge of English grammar, punctuation, and spelling. Ability to clearly communicate orally and in writing.
      • Ability to use and quickly learn new office support technology systems and software packages.
      • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
      • Ability to independently handle multiple work unit priorities and projects.
      • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
      • Working knowledge of budget policies and procedures.
      • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
      • Ability to draft and compose correspondence and standard reports.
      • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

      Special Conditions

      • Ability to occasionally work evenings and weekends as needed.
      • Ability to occasionally travel to attend meetings and events.

      Salary Range

      Anticipated salary will be $3,680 - $4,048 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Coordinator I range: $3,680 - $5,783 per month)
