Position Summary
The Administrative Support Coordinator I provides support to the Director and Associate Director of the Center for Latin American Studies in the College of Arts and Letters. The Administrative Coordinator’s work is supervised by the Director and should be carried out within the policies set by the Center and the Director. This position requires fluency in English and Spanish and working knowledge of Portuguese or one of the Indigenous languages taught through the Center.
The Administrative Support Coordinator is responsible for office lead and clerical operations necessary for assisting in accomplishing the administrative goals of the Center. These include planning and overseeing budgetary and fiscal matters, course scheduling, processing paperwork for faculty appointments and annual reviews, interpreting academic and administrative regulations and policies, and gathering data for grant and fellowship applications. They will also assist with the preparation and administration of grant proposals, overseeing grant budgets, assisting in the preparation of graduate student applications for review, assisting committees including review committees for travel and other grant funding for students and faculty, hiring and supervising student employees, overseeing the maintenance of the department's website, planning and organizing events, completing annual reports to granting agencies, and securing visas and other documents for international visiting scholars.
The Administrative Support Coordinator will assist the Director in the development of publicity materials, the development and maintenance of links with external institutions, and the coordination of efforts between the Center for Latin American Studies and other organizations.
This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
The individual hired into this role will work on campus at SDSU in San Diego.
Department Summary
Over the years, the Center for Latin American Studies (CLAS) has grown to be a regional center for the acquisition of information on the politics, history, cultures, languages, and contemporary phenomenon of Latin America. The Center demonstrates its effectiveness through such activities as guest lectures, film screenings, major conferences, visiting international faculty and student exchange programs, development and administration of Indigenous language and culture programming, a quarterly newsletter, outreach programming to K-14 institutions and educators, and the coordination of library purchases.
The Center's functions include the development of grant funding and administration, development of Indigenous language and culture instruction, ongoing curricular development, internships within San Diego, in Mexico, and in other areas of Latin America for the College and larger University, study abroad programming during the academic year and summer located throughout Latin America, academic exchange programs with COLEF, UABC Norte, and multiple universities and agencies in Oaxaca, facilitation of the Aztec Identity Initiative, administration of the SDSU Oaxaca Center for Mesoamerican Studies, and administration of SDSU's undergraduate major and minor and four (4) graduate degree programs in Latin American Studies, three of which are concurrent degree programs with Public Health, Public Administration, and Business Administration. The academic program is interdisciplinary and draws primarily from its own courses as well as those offered by other departments. The Center develops new courses and academic degree programs, provides instruction in Mixtec, Zapotec, and Nahuatl, and contracts with lecturers and other faculty to teach specifically for the Center.
Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly lean new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Key Qualifications
Spanish language fluency in speaking, reading and writing.
Proficiency in Microsoft Word, Adobe, Zoom, Microsoft Meetings, PowerPoint, and Excel.
Experience working with budgets.
Degree in an area of study related to Latin American Studies is preferred.
Ability to communicate orally in Portuguese is preferred.
Experience working with international organizations or foreign universities.
Experience working in a university setting.
Compensation and Benefits
Starting salary upon appointment is not expected to exceed $3,680 per month.
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
San Diego State University offers a rich benefits package that constitutes a major portion of total compensation.
CSU Classification Salary Range: $3,680 - $5,783 per month.
