Under the general supervision of the Associate Registrar, the incumbent, as part of a team of Transfer and Graduation Counselors, will provide/maintain the critical advising tools that are essential to faculty and professional advisors in guiding students to graduation. This is accomplished through transfer course articulation, production of degree audits (PAWS), processing of course substitutions/waivers, review of concurrent enrollment requests and subsequent record updates, and the production of graduation checks. The incumbent will also meet with students (in-person or virtually) to answer questions about PAWS, graduation checks, and degree requirements. This particular position will also be responsible for pre- and post-admission evaluation of records for students in degree programs offered through the College of Extended and Global Education.
Major duties and responsibilities
Process PAWS (degree audits) for incoming undergraduate students (transfer/freshmen) in online and emerging programs
  • Review and articulate all transfer work
  • Review, determine course equivalencies/applicability, and enter in the uAchieve institution
  • articulation tables
  • Send course descriptions to academic chairs for course equivalency and applicability - then enter in uAchieve institution articulation tables
  • Analyze PAWS to ensure that courses are falling into the appropriate categories and that students are receiving optimal credit
Process Graduation Checks for UGRD and GRAD students in online and emerging programs
  • Review and summarize remaining requirements for degree completion
  • Alert students of any possible issues and potential solutions
TGC Specialty: Online and Emerging Programs
  • Provide pre-admission analysis/PAWS for offices that need to determine student admission eligibility for specific online and emerging programs.
Meet with students in online and emerging programs regarding policies and procedures, PAWS literacy, graduation check literacy, and any other questions that students may have regarding their records. Answer policy and procedure questions via phone/email from students, faculty, and staff.
Process course substitutions for students in online and emerging programs
  • Process course substitutions submitted by academic chairs and staff via Exceptions from the Audit (EFA), email, and paper
  • Programmatically and manually enter in the uAchieve client
  • Process both before and after graduation checks are produced
  • Process concurrent enrollment requests for students in online and emerging programs
  • Process requests from students who wish to take a course at an institution with which we have articulation agreements in order to meet graduation requirements
  • Review the student's PAWS to ensure that the course request is equivalent and applicable, i.e. benefits the student
  • Consider Title 5 and graduation requirements in order to prevent the application of more transfer coursework than permitted - and that all minimum degree and residency requirements are met
  • Process transcript updates for students in online and emerging programs
  • Update a student's record and PAWS with coursework that has been approved by concurrent enrollment request
  • Under direct supervision, review and subsequently graduate eligible undergraduate and postbaccalaureate students in online and emerging programs
  • Manually review undergraduates who are not programmatically graduated
  • Manually review all postbaccalaureate students
  • Other duties as assigned
  • Perform the above duties for UGRD and GRAD students who are not associated with online and emerging programs.
Minimum Qualifications: Required Education and Experience
  • Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master's degree in a job-related field may be substituted for one year of the professional experience.
Required Qualifications
  • Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
Compensation and Benefits:
Anticipated Hiring Range: $4610 per month
Classification Salary Range: $4610 - $6,556 per month
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Background Check
