Department Summary
The Office of the Registrar maintains CSUSB students' official academic records and assists students with a variety of requests related to student enrollment throughout their academic career at CSUSB. The Office of the Registrar has three units within the office, Records, Registration, and Evaluations.
Job Summary
Under the general supervision of the Associate Registrar, the incumbent, as part of a team of Transfer and Graduation Counselors, will provide/maintain the critical advising tools that are essential to faculty and professional advisors in guiding students to graduation. This is accomplished through transfer course articulation; production of degree audits (PAWS); processing of course substitutions/waivers; review of concurrent enrollment requests and subsequent record updates; and the production of Graduation Checks. This particular position will also be responsible for supporting returning students as they come back to CSUSB to complete their degrees. The incumbent will work collaboratively with staff from multiple campus offices to reach out to this student population and help guide them to degree completion.
Responsibilities include, but is not limited to:
  • Process PAWS (degree audits) for incoming undergraduate students (transfer/freshmen).
    • Review and articulate all transfer work.
    • Review, determine course equivalencies/General Education and major applicability - enter in the uAchieve institution articulation tables.
    • Send course descriptions to academic chairs for course equivalency and applicability - enter in uAchieve institution articulation tables.
    • Analyze PAWS to ensure that courses are fulfilling the appropriate categories and that students are receiving optimal credit.
  • Process Graduation Checks for UGRD and GRAD students.
    • Review and summarize remaining requirements for degree completion.
    • Alert students of any possible issues and potential solutions.
  • Answer policy and procedure questions via phone/email from students, staff, and faculty.
  • Meet with students regarding policies and procedures, PAWS literacy, graduation check literacy, and any other questions that students may have regarding their records, policies, and procedures.
  • Process concurrent enrollment requests
    • Requests from students who wish to take a course at an institution with which we have articulation agreements in order to meet graduation requirements.
    • TGCs must review a student's PAWS to ensure that the course request is equivalent and applicable i.e. benefits the student.
    • Title 5 and graduation requirements must be considered to prevent the application of more transfer coursework than permitted - and that all minimum degree and residency requirements are met.
  • Process transcript updates
    • Update a student's record and PAWS with coursework that has been approved by concurrent enrollment request.
  • Process Course Unit Verifications
    • A summary of remaining degree requirements that is typically requested from our international population for scholarship grantees.
    • Includes a projected graduation date.
  • Process course substitutions o
    • Process course substitutions submitted by academic chairs via Exceptions from the Audit (EFA), email, and paper.
    • Programmatically and manually enter in the uAchieve client.
    • Received/processed both before and after graduation checks are produced.
  • Returning Student Specialist
    • Work with Admissions and Student Recruitment to follow up with identified students who left CSUSB without earning an undergraduate degree
    • Assist those students via email/phone/Zoom with the necessary steps to complete their remaining degree requirements
    • Investigate alternate majors, if appropriate.
    • Process any additional transfer work.
    • Explain the quarter-to-semester conversion, where necessary, and make any needed adjustments to the degree audit.
    • Explain how to read the degree audit and act as a reference person for questions Explain campus processes and procedures, such as registration, deadlines, Grad Checks, etc.
    • Work with Advising and Academic Services to assist returning students who are on academic probation.
    • Work with department chairs to facilitate any course substitutions or other degree audit adjustments in the major.
    • Work with CEGE if enrolling through Open University would provide a suitable path for the student to complete degree requirements.
  • Review and post graduation for eligible undergraduate and postbaccalaureate students
    • Manually review undergraduates who are not programmatically graduated.
    • Manually review all postbaccalaureates.
Employment Status: Full-time, Exempt, Probationary with the possibility of converting to permanent.
Application Review Deadline: This position will remain open until filled. Applications will be reviewed beginning March 15, 2022.
Work Schedule
  • Monday through Friday, 8:00 a.m. to 5:00 p.m. Some evenings and weekend hours may be required.

  • Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts.
  • Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas.
  • Proficiency in using standard office software, particularly Microsoft Office and Google Workspace.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Ability to work collaboratively with diverse faculty and professional staff from CSUSB and other partner institutions.
  • Ability to work independently and apply good judgement, discretion, and initiative in performing duties.
  • Ability to prioritize accuracy in a detail-oriented environment.
  • Ability to handle multiple work priorities and independently or collaboratively organize and plan work and projects.
  • Ability to learn, interpret, and apply a variety of complex policies and procedures, while also being comfortable with ambiguity and "grey areas" that may require additional interpretation.
  • Ability to abide by FERPA and maintain the confidentiality of records and sensitive information.
  • A background check (which may include: fingerprinting, checks of employment records, education records, criminal records, civil records, motor vehicle records, professional licenses, and sex offender registries, as position requires) must be completed satisfactorily before any candidate can begin employment with the CSU.
Preferred Qualifications
  • Experience with the following software/platforms: ASSIST, PeopleSoft Campus Solutions, uAchieve, and TES (College Source).
  • Experience working with degree audit systems.
  • Knowledge of CSU transfer patterns and policies.
  • Knowledge of CSUSB policies and procedures.
Education and Experience
  • Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. (Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities may be substituted for the required education on a year-for-year basis.)
  • Experience: Equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of a competence and indicate the potential for further growth. (A master's degree in a job-related field may be substituted for one year of the professional experience.)
Salary
Anticipated Hiring Range: $4,304 per month
Classification Salary Range: $4,304 - $6,120 per month
