Department Summary
In support of the CSUSB Strategic Plan, the College of Extended and Global Education (CEGE) leads the campus' internationalization and global engagement, provides services to international students and scholars, promotes education abroad, and collaborates with international partners to develop and promote activities, programs, and services that meet the needs of the university, regional, national, and global communities.
Job Summary
Under general supervision, the incumbent is responsible for advising students and promoting study abroad programs. The areas of responsibility include but are not limited to outreach, application management, pre-departure preparation, orientation, maintaining study abroad database and website information, and program planning and reporting.
Responsibilities include, but are not limited to:
Education Abroad Advisor
  • Advise and provide guidance to study abroad students and prospective applicants related to an array of educational opportunities abroad and related issues on a day-to-day basis via face to face, phone, email, text and related social media.
  • Evaluate and assess appropriate individual program placement levels concerning students' financial, academic, personal, and professional growth areas.
  • Advise students on all the documentation required in order to participate in study abroad.
  • Advise students and faculty at California State University San Bernardino to conform with both CSUSB and the host institution's administrative policies and procedures as related to study abroad programs.
  • Introduce an array of Study Abroad Opportunities via select campus events to prospective and current CSUSB students, parents, families and members of the CSU community.
  • Communicate with students regarding moderately complex academic and financial aid issues while abroad.
  • Communicate any emergencies or important policy changes with my direct supervisor and follow protocol.
  • Advise and counsel returning program participants regarding various matters including but not limited to evaluation procedures, credit transfers, logistics and future study abroad opportunities, etc.
  • Prepare and Present Risk Management sessions during pre-departure orientations as necessary, on a one-to-one basis.
Education Abroad Management and Application Services
  • Responsible for updating and maintaining the education abroad system - an online education abroad provider that CSUSB is using as a main software. Activities include creating and updating necessary information regarding education abroad programs including FAQ's, Programs, etc.
  • Responsible for reviewing and maintaining education abroad student online applications and files according to CSU regulations.
  • Responsible for the education abroad software for online education abroad program information and applications.
  • Responsible for preparing the education abroad program budgets (see more below).
  • Collect and ensure that all necessary and required documentation is made available online for all education abroad participants, including study abroad short-term faculty-led programs, student exchange, field trips, internships, conferences, service-learning programs, and one-year CSU IP study abroad programs.
  • Review and ensure that all appropriate documentation for specific education abroad programs are in up-to-date status online and filed in appropriate program binder.
  • Organize and prepare professor support binders to include student photos, passport copies, insurance information, emergency contact information for students, host institution, CSUSB administrators, flight itinerary, class schedules, and lodging information
Program Departure, Evaluation and Academic Follow-up with Students
  • Coordinate the education abroad departure orientation sessions for CSUSB education abroad participants; advise students regarding course registration options and securing administrative/system overrides, fulfillment of lawful presence and online registration processes.
  • Coordinate parents' education abroad orientation meetings.
  • Student Evaluations: Conduct evaluations of returning students to ensure the highest educational values and integrity are maintained in the study abroad programs. Determine if overall learning objectives were attained by both faculty members and students as part of the education abroad experience.
  • Schedule and coordinate Culture Shock Orientations for departing and returning study abroad students: Schedule campus counselors to interact with Study Abroad Students in special sessions to ensure that students cope with culture shock experienced during overseas study and during the "Re-entry" phases.
  • Credit Transfer: Responsible for contacting international partners to obtain official student transcripts. Provide transcripts to the Records office so credit for courses taken at international host universities will transfer back for CSUSB credit.
Marketing and Promotion of Education Abroad Programs
  • Responsible for developing and implementing Recruitment and Promotional Strategies and campaigns to support CSUSB study abroad programs.
  • Develop promotional campaign materials to attract students to enroll in select Study Abroad programs. Work with faculty members to coordinate in-class presentations and perform as spokesperson for Study Abroad Programs.
  • Coordinate with the Enrollment Services-Technical Support Office to release student email blasts to support Study Abroad Program promotions.
  • Plan and schedule recruitment orientations during university events and various other activities including CISP events, SOAR, International Week, and IIE. Plan Welcome Ed. Abroad Student event and Education Abroad Expo. Represent the Study Abroad Office during university Culture events, such as, Japan Day, Latin America Cultural Week, Chinese New Year Festival, and many other events.
  • Develop budgets and cost estimates for marketing and promotion to heighten student participation as it pertains to the country of choice and the approved host institution for short-term and exchange programs.
  • Develop cost projections for marketing promotions in order to ensure that budget assumptions meet projected Study Abroad Program goals, including projected enrollments and exchange rates.
  • Organize and maintain study abroad program materials in CISP and Study Abroad Office; represent the CSUSB Study Abroad Office at local, regional, and national events as necessary.
Terra Dotta (Online Software) Maintenance
  • Formatting online queries for Short-term and Exchange Programs for Study Abroad Department Applications.
  • Provide guidelines to students regarding online protocols for program information, application, liability releases, travel insurance, passport and visa information, recommendation letters, emergency contacts, cancellation policies, financial aid, budgetary information and alert traveler, etc.
Budgeting, Planning and Analysis
  • Develop budgets and cost estimate for student participation as it pertains to the country of choice and the approved host institution for ed. abroad programs, including educational materials and supplies, travel, meals, local transportation, accommodations, CSU travel insurance, tuition, optional cultural activities and personal expenses.
  • Analyze adequacy and accuracy of budget assumptions based on projected enrollment and exchange rates for each Ed. Abroad Program.
  • Perform and oversee accounting activities for ed .abroad programs; includes creating spreadsheets for each program participant with program cost, travel insurance, schedule of student payments, and student reimbursements. Interact and work closely with CISP's Administrative Analyst/Specialist to ensure student program fees collected match PeopleSoft reports.
Strategically Monitor and Advise Student Assistants and Volunteer Workers
  • Train, advise and supervise student assistants and volunteer peer advisors; coordinate, monitor and advise student assistants and volunteers workers regarding study abroad policies, procedures, and related program work responsibilities. Ensure student workers participate in all appropriate training related to their work, e.g. Title 9, Sexual Harassment, etc.
Employment Status: Full-time, Exempt, Probationary with the possibility of converting to permanent.

Work Schedule
  • Monday through Friday from 8:00 am to 5:00 pm. Weekends and evenings may be required.

  • Ability to interpret and apply program rules and regulations.
  • Ability to gather and analyze data; reason logically, draw valid conclusions, and make appropriate recommendations.
  • Ability to present clear and concise information orally and in written reports.
  • Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, and other private and public agencies.
  • General knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.
Education and Experience
  • Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
  • Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master's degree in a job-related field may be substituted for one year of professional experience.
Preferred Qualifications
  • Master's degree is preferred.
  • Two years of professional experience working in the study abroad field in higher education.
  • Proficiency in Microsoft Office suites.
  • Proficiency in a foreign language.
  • Experience working or studying overseas.
Salary
Anticipated Hiring Range: $4,304 - $4,519 per month
Classification Salary Range: $4,304 - $6,120 per month
