California Health Sciences University is Hiring a Manager of Business Affairs and Administration Near Clovis, CA

Summary:

The Manager, Business Affairs and Administration will provide oversight for many operational day-to-day items in the COM. The position monitors department budgets, manages operational projects and provides support for the Dean, Associate Deans and Faculty with regards to budgets invoices and travel. The ideal candidate provides organizational skills and planning to assure performance improvement and employee satisfaction are maximized.

The essential functions (i.e., the fundamental job duties of the position) are as follows:

· Reviews and coordinates onsite meeting requests from external partners within the community.

· Acts as interface to major organization utilizing the COM building for events, such as FMMS and OPSC.

· Prepares and assures accuracy for expenses reports for the dean and assistant/associate deans.

· Prepares and processes invoices, oversees and reviews expenses to help ensure budget expenditures.

· Arranges and coordinates room reservations, catering, and other provisions for college meetings and events.

· Manages assignments of office space.

· Tracks department expenditures and acts as liaison to the Business Office.

· Coordinates signing and distribution of documents as requested.

· Responsible for coordination of all faculty and staff candidate interviews.

· Manages all faculty candidate travel.

· Coordinates travel arrangements for all COM Faculty and staff attending conferences.

· Assist with student officer and student leadership travel arrangements.

· Arranges for training/ membership dues/ licensing and payments for all eligible faculty.

· Provides oversight for ordering and shipping of promotional items and display materials /equipment needed.

· Maintains list of annual external program sponsorships and spending for premium items for distribution.

· Provides technical support to the COM faculty and administration regarding computers, printers, and other office equipment as needed.

· Coordinates flow of incoming and outgoing communication by receiving, routing, and/or responding to incoming communication and determining the appropriate office, department, or agency for outgoing communications.

· Manages databases; enters data; produces reports and charts.

· Works collaboratively with the Marketing team to ensure outbound ads and internal documentation including organizational charts are up to date and reflect COM standards.

· Maintains confidentiality of records and information

Education:

· Bachelor’s degree in Business Administration, Higher Education, or other similarly related area.

· Directly related experience in equivalent years to obtain a degree may be considered in lieu of degree.

Skills & Experience:

· Four or more years of related business management experience and/or relevant training preferably in a fast-paced environment, with a senior executive, and/or in a higher-education context.

· Excellent oral and written communication skills; ability to draft emails, letters, memos, etc. in a professional manner with attention to grammar and detail.

· Ability to maintain confidentiality, exercise good judgment, and act professionally, sensitively, and with a high level of discretion.

· Sound judgment in situations of high sensitivity, tact, and diplomacy, and the ability to interact with personnel at all levels of the University.

· Excellent time management skills with a proven ability to meet deadlines; flexible and able to prioritize workload based on urgency and importance.

· Superior organizational skills and detail orientation.

· Strong analytical and problem-solving skills.

· Ability to act with integrity, professionalism, and confidentiality.

· Strong reading, writing, and editing skills.

· Friendly and professional with the ability to work well with a diverse group of people.

· Self-motivated, and able to work independently and autonomously.

· At least intermediate proficiency with Microsoft Office suite, in particular Microsoft Outlook, Excel, and PowerPoint.

· High proficiency with technology, including Apple and PC hardware with a demonstrated ability to learn new technology and skills.

Job Type: Full-time

Pay: $75,000.00 - $105,000.00 per year
