Position Summary

The Budget/Finance Director will work within the Caliber Public Schools school support organization (SSO) team and will be oversee the development and monitoring of budgets and other financial plans for Caliber’s central office, our two schools in San Pablo, CA and Vallejo, CA, and 5 other schools operated by other charter management organizations that Caliber supports.

You will work alongside leaders at Caliber and the other organizations to create and track budgets for each of their divisions. You will work alongside budget owners and school leaders to understand their revenue sources and spending priorities and develop budgets that deploy their resources to have the maximum impact on our mission and our students’ outcomes. And you will be responsible for ensuring that budget reports are created and distributed to leadership teams, and external constituents (government agencies, funders, etc.) on an accurate and timely basis throughout the school fiscal year.

This is a CFO-track role and will be an active member of Caliber’s leadership team with a seat at the table on major decisions that impact the organization and its mission.


Essential Job Functions

The Budget/Finance Director will be responsible for:

Preparing and monitoring annual budgets for Caliber and partner organization’s schools and central offices:

  • Annual budgets for each fiscal year.
  • Grant and funder-specific budgets for restricted resources that are consistent with the allowable uses of each funding source.
  • Periodic updates throughout the year as revenue assumptions or spending priorities evolve.

Maintaining timely and accurate revenue forecasts across all divisions and funding sources:

  • Monitoring State budget communications regarding funding rates.
  • Identifying funding sources that the organization is eligible to apply for and receive.

Leading periodic (typically bi-weekly or monthly) meetings with budget owners across Caliber and partner organizations

  • Providing budget-to-actual variance analysis reports for budget owners across Caliber and partner organizations to allow for proactive decision making about school finances.
  • Responding to day-to-day circumstances that require budget revisions.

Tracking and reporting on restricted funding sources:

  • Maintaining expertise regarding the allowable uses for all restricted funding sources.
  • Calculating inter-fund and inter-divisional cost allocations that are consistent with requirements of each funding source.
  • Coordinating with accounting staff to ensure that funds are booked in a manner that is consistent with their allowable uses.

Preparing periodic reports required by the state and other funders related to the financial health of the organization:

  • Quarterly expenditure reports for public grants
  • Triennial budget updates for government oversight
  • Periodic grant financial reports as required by private donors

Prepare other ad-hoc financial analyses on an as-needed basis

The employee will encounter exposure to ill students. The position requires mobility to climb, kneel, stoop, crawl, reach and bend, and accurate perceiving of sound; near and far vision with the ability to read small print; depth dexterity; and the providing of oral information and direction. The position is primarily located at a school site with outside supervision and some district office visits. The employee will frequently work independently with high work volume and tight deadlines.


Qualifications

Required:

Education:

Bachelor’s degree in business administration, accounting, or a closely related field,

Experience:

3-5 years of relevant accounting &/or financial analysis experience in the non-profit or school sector

Other:

Legal authorization to work in the U.S.

Within 60 days of hire, provision of TB (tuberculin) clearance, as mandated by the California Education Code

CA DOJ and FBI fingerprint (Livescan) clearance prior to the first day of school

Proof of COVID-19 vaccination OR approved medical or religious exemption


Preferred:

Education:

Certified Public Accountant (CPA) license

Experience:

Knowledge of typical funding sources, cost structures, and finances applicable to California charter schools

Skills:

Strong aptitude with MS Excel/Google Sheets and ability to work in a highly automated and data driven accounting environment.

Understanding of core finance & accounting concepts (revenue recognition, expense allocation, charts of accounts, accruals, etc.)

Strong customer-service orientation and understanding of the support needs of a school environment

Ability to adhere to strict confidentiality regarding sensitive information.
