Position: OfficeAssistant

Location: Cahuilla Indian Reservation, Anza, CA 92539

Reports to: Public Works Department Project Manager & Director

Pay Range: $19-23

  1. Job Description:

The Assistant's role is integral to the smooth operation of our office. A typical day will involve answering phones and making purchases approved by the project manager or director. Sitting in on meetings to take notes & file documents into SharePoint for future records and tracking: community outreach and engagement. Every week, you may be asked to drive and retrieve parts and supplies from Temecula & surrounding area.

Essential Duties and Responsibilities:

  • Answering Phones: Acting as the first point of contact for incoming calls, directing them appropriately, and ensuring a positive caller experience.
  • Making Purchases: Responsible for buying supplies and equipment approved by the project manager or director.
  • Meeting Assistance: Attending meetings to take detailed notes, which are crucial for record-keeping and action tracking.
  • Document Management: Filing documents into SharePoint for secure future access and efficient tracking.
  • Community Outreach and Engagement: Building and maintaining positive relationships with community members and stakeholders to support our organization's goals.
  • Logistics Support: The Office Assistant may be tasked with driving to retrieve parts and supplies from Temecula and surrounding areas weekly, ensuring our operations have the resources they need to run smoothly.
  • The Assistant is expected to possess a positive attitude, have excellent verbal and written communication skills, and pay close attention to detail. Accuracy is critical in all tasks, especially when ordering parts and documenting meeting notes. While this list covers the primary responsibilities, it is not exhaustive.

II. Duties & Responsibilities:

  • Reconciling and Submitting Receipts & Invoices for Payment: Ensuring that all purchases are accurately recorded and submitted for reimbursement or payment.
  • Purchasing & Acquisitions: Handling the procurement of goods and services needed for our operations, following strict approval and budget guidelines.
  • Filing and Storing Documents in SharePoint Folders: Organizing documents digitally to ensure they are secure, easily accessible, and properly indexed.
  • Picking up Parts & Supplies: Physically retrieving items necessary for our projects or office functioning, involving travel within the local area.
  • Grant Management & Reporting: Assisting with the administration of grants, including application, management, and reporting on use and outcomes.
  • Document Repository and Organization: Maintaining a structured and efficient digital repository for all organizational documents.
  • Fleet Management: Overseeing the maintenance, scheduling, and records for the department's vehicle fleet.
  • Community Outreach: Engaging with the community through various initiatives to foster positive relations and support organizational objectives.
  • Work Order Management: Processing and tracking work orders to ensure they are completed timely and efficiently.
