YOUR LIFE AS AN HVAC OFFICE / SERVICE COORDINATOR

This full-time customer service position enjoys a flexible schedule that is dependent on your needs.

As an HVAC Office / Service Coordinator, you play a huge role in the important day-to-day functions of our heating and air conditioning company. Every day, you arrive at work ready to help. Our office team completes a variety of important tasks, including answering phone calls, providing support to our service staff, managing new work orders, assisting with proposals, and entering work order and service call information into our computer system. Nothing gets by you as you make sure all the dispatching, scheduling, and assigning of work order service requests for our customers happen promptly and correctly.

In addition to administrative tasks, you also regularly correspond with vendors and keep their accounts straight by efficiently maintaining their files, responding to their inquiries, and researching and resolving invoice discrepancies. With great attention to detail, you help efficiently resolve customer billing errors and solve account receivable problems. Always maintaining a friendly and helpful demeanor, you lead our office team by example, and they often look to you for guidance and advice. You enjoy helping our company run smoothly!

WHAT WE NEED FROM YOU

  • High school diploma
  • 2 years of customer service experience
  • Ability to read and interpret field service work orders as well as determine and implement the appropriate course of action
  • Knowledge about general accounting procedures
  • Exceptional customer service skills
  • Experience using various software programs such as Word, Excel, and Outlook

Experience in the HVAC Industry would be a plus. Knowledge about ServiceTitan, Bluebeam, and MS Project would also be beneficial. If you can meet these requirements and perform this customer service job as described above, we would be happy to have you as part of our team!
