Job Overview: We are seeking a dynamic and organized Firm Administrator to join our team. The ideal candidate will play a crucial role in overseeing the daily operations of our accounting firm, ensuring smooth workflow, and contributing to the overall success of the organization.

Responsibilities:

Office Management:

  • Supervise and manage day-to-day office operations, ensuring a well-organized and efficient working environment.
  • Implement and maintain office policies and procedures.

Human Resources:

  • Lead recruitment efforts, including posting job openings, conducting interviews, and onboarding new employees.
  • Manage employee relations, addressing concerns and fostering a positive work environment.
  • Ensure compliance with HR policies.

Client Services:

  • Work closely with client services teams to ensure client satisfaction and address any client-related concerns.
  • Facilitate communication between clients and internal teams.

Qualifications:

  • Bachelor's degree in Business Administration, Accounting, or a related field and/or equivalent experience.
  • Proven experience in office management, preferably within an accounting or financial services environment.
  • Strong organizational and multitasking skills.
  • Excellent interpersonal and communication skills.
  • Proficient in Microsoft Office and accounting software.

This position will be responsible for managing various day-to-day office operations to ensure the smooth functioning of the accounting firm, in addition to special projects as assigned. Here is a comprehensive list of tasks that may fall under the purview of the Firm Administrator:

Office Organization:

  • Maintain a well-organized and clean office space.
  • Oversee the arrangement of workstations and meeting rooms.

Communication Management:

  • Facilitate internal and external communication.
  • Ensure effective communication channels within the firm.

Appointment Scheduling:

  • Oversee/assist with scheduling appointments for staff and/or management as needed.
  • Coordinate meetings and conferences.

Document Control:

  • Implement document management systems.
  • Ensure proper filing and organization of important documents.

Human Resources Support:

  • Assist in recruitment processes.
  • Handle HR-related inquiries.

Client Interaction:

  • Facilitate communication between clients and internal teams.
  • Address client inquiries and concerns.

Event Coordination:

  • Plan and coordinate firm events or activities.
  • Organize client meetings or seminars.

Training and Development:

  • Coordinate training sessions for employees.
  • Support professional development initiatives.

Project Management:

  • Assist in project management activities.
  • Monitor project timelines and deliverables.

Legal and Regulatory Compliance:

  • Assist CEO to ensure the firm's compliance with legal and regulatory requirements.

Employee Engagement:

Performance Metrics:

  • Establish and monitor key performance indicators (KPIs).
