Essential Job Functions Front Desk Receptionist - 50% • Greet and direct visitors at the front desk • Answer, screen, and forward incoming calls and eFax • Provide callers with information such as company address, directions to the company location, company website and other related information • Operates office machines such as copiers, scanners, PCs, phones, and voice mails stem to perform clerical duties • Maintain visitor log • Receive packages and sort accordingly • Attend to will call customers by answering questions, collecting payment via cash, credit, or check, and generating receipts • Communicate with warehouse about will call orders Sales support - 50% • Assist sales associates to create credit memos • Input, update, and maintain sales orders, invoices, and bill-back data within the Company database • Maintain high levels of customer satisfaction by providing excellent service and building rapport • Create company meeting minute • Create promotional flyers to promote selling Company products • Update and maintain customer information in the Company database • Manage customer documentations • Scan documents • Enter orders in company system • Attends Company events and functions outside of normal working hours Others • Other duties as required from Office operation manager • Obligation to answer to all management as requested Physical Requirements • Able to sit for extended periods of time • Ability to type and use the computer for extended periods of time • Ability to reach, bend, kneel, and lift up to 25 pounds • Working Conditions o Noise Level: Normal o Indoors Other Requirements • Business level English – read/write/speak/listen • Basic knowledge about Japanese food • At least 1 year of experience in an administrative required • Ability to work independently and as a team • Ability to adapt to frequent changes in assignments and workload • High school diploma required. Associate’s Degree or above preferred • Ability to solve problems • Basic Microsoft Office proficiency (Outlook, Excel, Word and PowerPoint) • Basic computer skills • Communication and interpersonal skills • Exceptional organization and time management skills • Customer service skills
