Position: Proposal Coordinator
Location: BTAS Corporate Headquarters, Beavercreek, OH
Security Clearance Required: None
Position Type/Standard Work Hours: Full-time/40 hours per week
Summary/Objective:
The primary job function is to coordinate and facilitate the preparation of government proposals through communication, planning, monitoring, and administrative support. This includes developing and maintaining a thorough understanding of proposal processes, tools, templates, and best practices; working independently or as a group to improve these methods over time; and proactively working to ensure proposal products are the highest possible quality. Additional duties may include strategic corporate projects or needs, monthly report coordination for program management reports, support to communication and marketing projects/products, and others as assigned.
The work environment is as a member of a multi-disciplinary team that includes executive level personnel as well as capture managers, proposal managers, program and project managers, business development personnel, graphic artists, and other technical personnel, as well as all levels of administrative support (HR, finance and accounting, contracts, IT, etc.). Interaction and collaboration often includes representatives from other companies that are trading partners with BTAS (as our subcontractor, as our prime contractor, or as a fellow team member company), and occasionally government customer representatives.
Although every effort is made to do assigned work during normal work hours, proposals and other projects may require working extended hours, including weekends, on relatively short notice in orer to meet schedule deadlines.
Primary Responsibilities:
  • Support proposal planning, preparation, review coordination, graphics development coordination, proofreading, finalization, and post-submittal activities in accordance with BTAS process guidelines, tools, templates, and best practices.
  • Communicate and coordinate with BTAS corporate employees and other stakeholders throughout the proposal development process to ensure availability and support for reviews and other critical activities.
  • Provide support to reviews through document preparation, capturing meeting minutes, consolidating reviewer inputs and edits.
  • Directly contribute to ongoing process compliance, including document control on SharePoint and ensuring process outputs/results/evidence are developed and shared.
  • Identify and help implement ways to continually improve, including maintaining updated tools and templates that reflect BTAS best practices.
  • Work with corporate stakeholders to lead, support, or participate in strategic projects identified during the course of company operation.
  • Providing planning, coordination, writing, editing, and other as-needed support to communications activities such as marketing materials, newsletters, and events.
  • Support the coordination, development, quality control, and delivery of Contract Data Requirements Lists (CDRLs) for existing contracts.

Required Education and/or Experience:
  • Bachelor's degree in English, creative writing, technical writing, journalism, or a related field OR at least three years of relevant experience.
  • Ability to read and understand Government RFPs and other solicitation documents, and to develop solicitation-compliant outlines, compliance matrices, and writing plans.
  • Highly organized, detail-oriented, and schedule-driven, with a track record for compliance with strict standards (format, page limitations, special markings, etc.).
  • Expert level user of Microsoft Word, including: outlines, headers, footers, TOCs, styles, sections, indexes, captions, footnotes, complex tables and charts, integrated or imported graphics and other objects.
  • Highly proficient with other MS Office components, especially Outlook, Power Point, and Excel.
  • Excellent editing skills, following accepted rules of grammar, style, tone, and form that are appropriate for the audience.
  • Ability to produce (author) original proposal or other document content based on interviews with or notes from content providers or subject matter experts.
  • Must exercise initiative and judgment to successfully meet performance expectations pertaining to planning, writing, reviewing, and integrating written material.
  • Familiarity with Adobe Acrobat.
  • Ability to cope with the pressures associated with meeting tight deadlines, supporting multiple simultaneous proposal activities, and producing documents with exacting requirements for content and quality.
Preferred Education and/or Experience:
  • Familiarity with federal government, military, technical, and engineering concepts, terms, and acronyms, especially those related to USAF and/or DoD business.
  • Possess a basic understanding of legal/contractual language to enable confident assessment of requirements for compliance.
  • Experience supporting formal proposal reviews and subsequent document revisions for government proposals.
  • Proficiency with Adobe Acrobat.
  • Familiarity with Adobe Illustrator, and ability to develop and edit/modify business graphics utilizing Adobe Illustrator.
Supervisory Responsibilities:
This position does not supervise the work of others.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment.
Physical Demands:
Must be able to operate a computer and other standard office equipment. Must be able to remain in a stationary position, 80%.
Travel:
Very little – less than 5%.
