Brunel is Hiring an Invoicing Specialist/Administrative Assistant Near Miami, AZ

Brunel is currently searching for an Invoicing Specialist/Administrative Assistant for a full-time, contract to direct hire position with our client located in their Miami/Globe, Arizona office. This role will work M-F, 8a-5pm, full-time in office.

We are seeking a unique individual for our client’s small office. In this role you will wear multiple hats and tasks will include administrative duties, accounts payable, account receivable, human resource administration, receptionist duties, employee liaison regarding benefits, unemployment and disability claims, and more.

Duties:

· Develops, implements, and monitors systems for general accounting.

· Prepares financial and operational reports.

· Manages monthly accounting close cycle; prepares month-end financial statement.

· Installs, modifies, documents, and coordinates implementation of accounting systems and accounting control procedures.

· Manages accounts receivable systems.

· Assigns duties and monitors quality of work of subordinates; assures staff conforms to organizational policies and procedures and government regulations.

· Performs other related duties as assigned by management.

· Administers company-wide human resources policies, procedures, and practices in accordance with stated corporate objectives and federal and state legal requirements.

· Coordinates employee benefit programs including but not limited to health insurance, long term disability insurance, life insurance, COBRA, and other programs.

· Responds to employee’s benefit questions, resolves problems regarding access to or payment of benefits, orients newly eligible employees, and processes enrollment forms and change requests.

· Prepares and maintains human resources and employee benefits data and reports.

· Maintains employee files.

· Administers unemployment and disability claims.

· Reviews coverage, services, and options available from insurance and investment companies to determine programs that best meet the organization’s needs.

· Reviews benefit plans for compliance with government regulations.

· Assures required labor law posters are in place.

· Responsible for shipping, receiving and reception.

Requirements:

· Minimum of a High School Diploma or GED required.

· 5 years related experience or equivalent.

· Proficient on Microsoft Office including Excel.

· Proficient in QuickBooks and Adobe Acrobat.

· Experience with third party payroll and human resource service providers and their web-based platforms.

· Commitment to excellence and high standards with acute attention to detail.

· Excellent written and verbal communication skills.

· Ability to work with all staff levels.

· Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.

· Good judgement with the ability to make timely and sound decisions.

· Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

· Working knowledge of Human Resource (HR) laws and regulations.

· Ability to communicate professionally and effectively in person, on the phone, electronically, or through other means to individuals and groups.
