POSITION DETAILS:

DEPARTMENT: Employee Experience

LOCATION: US, HQ (Northridge, CA) – Office Based Only

REPORTS TO: Employee Experience Manager

EXPECTED SALARY RANGES: $50,000 - $75,000 USD (depending on experience and skills)
POSITION SUMMARY:

Broadvoice is seeking an Executive Office Administrator based in our corporate office in Northridge, CA. Reporting to the Employee Experience team, the Executive Office Administrator provides support services to our Executive Team, including our CEO and President, as well as project management and office support services.

Our Executive Office Administrator will be a social connector who appreciates getting to know our team members but can prioritize their time to ensure that office and Exec Team needs are met. This position works under general guidance and acts as a brand advocate and Company Ambassador in their interactions with both internal and external partners. The person who best fits this role is a hands-on, organized, and focused individual who thrives on tackling challenges and proactively identifies opportunities for continuous improvement.

YOUR DAY-TO-DAY:

  • Function as the primary point-of-contact for the Northridge HQ office matters; Provide general reception support, answer incoming phone calls, and coordinate mail and shipments with our Logistics team
  • Coordinate visitors to our Headquarters office; Arrange building access, set up temporary workspaces and manage any meal or onsite logistics needs
  • Forge a positive working relationship with the facility’s building manager and cleaning crew
  • Order and maintain office supplies and coordinate routine catering
  • Manage office space, including maintain desk and office assignments, cleaning and maintenance schedules, and managing shared spaces
  • Attend Exec Team meetings to take notes and coordinate action steps for follow-up
  • Coordinate executive travel, meetings, and events end-to-end
  • Create and gather reports from various programs (e.g., Salesforce, Lattice) for Exec Team use
  • Partner with internal stakeholders to plan and execute company events, including Town Halls, Employee Connects, office celebrations and more
  • Assist with OKR communication between Exec Team and other members of our leadership team
  • Prepare and distribute PowerPoint presentations, correspondence, and documentation for Exec Team
  • Manage office space, including workstation assignments, routine cleaning and service schedules
  • Manage vendors and coordinate repair or replacement services as needed for Headquarters, including vending machines, break room equipment, cleaning, and office furniture
  • Support new hire onboarding for employees based at Headquarters, give office tours, set up workstations, and ship new hire swag kits
  • Complete ad hoc tasks and projects as assigned

WHAT YOU WILL BRING TO THE TEAM:

  • 4 years of experience as an Office Manager, Executive Assistant, Administrative Assistant, or similar position
  • Experience supporting C-suite leaders onsite in a corporate environment
  • Organized and meticulous, can coordinate and prioritize multiple projects and deadlines
  • Maintains confidentiality and discretion with sensitive information
  • Excellent technology and computer skills in MS Office 365 and Adobe Acrobat and demonstrated ability to learn and use new software applications quickly
  • Experience creating and maintaining reports, meeting notes, and presentations
  • Experience in coordinating executives’ travel, planning and executing corporate events and meetings, and managing event logistics in real time
  • Highly collaborative with excellent verbal and written communication skills
  • Fluent in English
