Position Overview:
We are seeking a detail-oriented and organized Medical Records Clerk to join our healthcare team. The Medical Records Clerk will play a crucial role in maintaining accurate and up-to-date medical records, ensuring compliance with regulatory standards, and supporting efficient patient care delivery. The ideal candidate will possess excellent organizational skills, strong attention to detail, and a commitment to maintaining patient confidentiality.
Responsibilities:
Accurately assemble, analyze, and organize medical records for both paper and electronic formats.
Ensure that all patient information is appropriately documented, filed, and updated in compliance with established protocols and regulatory guidelines.
Review, scan, and index incoming medical records and documentation into the electronic health record (EHR) system.
Organize and maintain physical filing systems, ensuring easy retrieval and accessibility of patient records when required.
Retrieve and release medical records to authorized personnel in accordance with HIPAA and other relevant privacy laws and regulations.
Collaborate with medical staff, nurses, and administrative personnel to retrieve and update patient information as needed.
Assist in the auditing and quality control of medical records to ensure accuracy and completeness.
Process requests for release of information from patients, legal entities, and healthcare providers, adhering to appropriate consent and authorization procedures.
Maintain inventory of medical record supplies and assist with ordering as needed.
Assist in the training of new staff members on medical record management procedures and practices.
Provide excellent customer service to patients, families, and healthcare providers regarding medical record requests and inquiries.
Participate in departmental meetings and contribute to process improvement initiatives aimed at enhancing record-keeping efficiency and accuracy.
Qualifications:
High school diploma or equivalent; post-secondary education or relevant certification is a plus.
Prior experience in medical records management, preferably in a healthcare setting.
Familiarity with electronic health record (EHR) systems and medical record software applications.
Strong knowledge of HIPAA regulations and patient confidentiality protocols.
Proficient computer skills, including data entry, scanning, and electronic document management.
Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
Detail-oriented approach to work, ensuring accuracy and completeness in record-keeping.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team in a fast-paced environment.
Flexibility to adapt to changing procedures and technology advancements.
Physical Requirements:
Ability to lift and move boxes of medical records, as needed.
Extended periods of sitting, standing, and computer use.
