Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a legal and accounting coordinate/Assistant. This position plays a crucial role in providing administrative support and ensuring smooth operations within the office. The ideal candidate will have excellent communication skills, be proficient in computer applications, and possess strong organizational abilities. Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer incoming calls and direct them to the appropriate person or department
- Perform general clerical duties, including data entry, filing, and photocopying
- Manage office supplies inventory and place orders as needed
- Assist with scheduling appointments and maintaining calendars
- Coordinate meetings and conferences, including making arrangements for catering and audiovisual equipment
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain a clean and organized reception area
Skills:
- Proficiency in QuickBooks for managing financial transactions
- Ability to use computerized systems for data entry and record keeping
- Strong clerical skills, including typing, filing, and proofreading
- Knowledge of administrative procedures and office management practices
- Familiarity with Google Suite (Gmail, Docs, Sheets) for document management
- Previous experience as a medical receptionist is a plus
