We are looking for a responsible front desk assistant / receptionist to perform a variety of administrative and clerical tasks.
Duties include providing support to our administrative assistant and office employees, assisting in daily office needs and managing our school’s general administrative activities.
The candidate's responsibilities include making meeting arrangements, preparing reports and maintaining appropriate filing systems, assisting teacher with tasks such a photo copying, laminating, etc.
The ideal candidate should have excellent verbal and written communication skills and be able to organize their work using tools such as MS Excel, MS Word, Google Suite and office equipment.
If you have previous experience as a Secretary or administrative assistant, we’d like to meet you. Ultimately, a successful candidate should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
Answer and direct phone calls
Assist our teachers and students
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Assist in filing
Assist with photocopying and laminating
Order office supplies and research new and more budget concious suppliers
Maintain contact lists
Submit and reconcile expense reports
Provide general support to visitors
Liaise with senior administrative assistant to handle requests and queries from senior managers
Skills
Proven experience as an administrative assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and laminators (training will be provided, otherwise)
Proficiency in MS Office (MS Excel (Google Sheets) and MS Word (Google Docs), and Google Calendar)
Canva experience is a plus
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multitask
High School degree
