Director of Marketing Operation (Remote)

Classification: Exempt/Full Time

Department: Marketing

Reports To: CMO

Job Summary

We are seeking an experienced professional to support Brand USA’s Chief Marketing Officer (CMO) in improving operational efficiency by optimizing processes and internal communications, coordinating cross-team initiatives, leading and implementing various strategic planning processes across the organization, and providing company leadership with important information to prepare them for upcoming meetings or presentations. This role will be pivotal in coordinating and executing key initiatives, driving cross-functional collaboration, and supporting the company’s operational efficiency in order to elevate the Marketing team to the next level of efficiency.

The Director of Marketing Operations will be a strategic partner to the CMO. This position ensures operations are efficient, improving the ability for the CMO to be effective in maximizing reach across the organization. The Director of Marketing Operations focuses heavily on communications and enhancing team integration. They work to link the vision of the CMO to the broader organization and connect the dots between departments and external team members.

In partnership with the CMO, the Director of Marketing Operations keeps the CMO abreast of issues and is a trusted advisor on aspects of the business and situations that require additional support. They frequently collaborate with the CMO and translate ideas into functional plans.

Essential Functions

Project Management

  • Lead all aspects of and manage critical projects and initiatives within the department, including coordinating project management across cross-functional teams and ensuring projects are delivered effectively, on budget, on time, and meet quality standards of the organization.
  • Develop project plans, manage, and coordinate special projects and initiatives as assigned by the CMO.
  • Provide tactical support to implement ideas.
  • Track and report on the status of key Marketing Team projects.

Cross-Functional Collaboration

  • Foster collaboration and communication across different departments to ensure alignment and efficient execution of company-wide initiatives.
  • Improve integration, coordination, and organic engagement across a remote team.
  • Provide recommendation and consultation support to department leaders in order to improve teamwork.
  • Plan, coordinate, and lead internal cross-team meetings and workshops and assist in the execution of high-profile meetings under the support and direction of the CMO

Communication

  • Handle and develop communications (e.g., reports, briefs, strategic POVs) to internal teams, cross-organizational collaborators, and the Executive Leadership Team
  • Lead material preparation for relevant board materials, and quarterly business reviews.
  • Research, outline, design, and prepare high-level communications, presentations, and reports to be presented by the CMO.
  • Act as a liaison between the CMO and various departments, streamlining communication and ensuring clarity of goals and expectations.

Strategy

  • Collaborate across the organization to synthesize data and inform decision-making, identify trends, and provide data-driven recommendations.
  • Support the development of the department’s long-term vision and goals, track progress toward these goals and drive analysis and recommendations for improvement.
  • Provide support to the CMO and other collaborators to define, refine, and implement the overall marketing strategy.
  • Lead strategic initiatives that span multiple functions and may not have a clear owner and facilitate complex, cross-departmental discussions and decisions.

Stakeholder Management

  • Build and maintain relationships with key leaders as well as partners, vendors, and stakeholders.

Operational Efficiency

  • Identify opportunities to improve processes and streamline operations, driving efficiency and effectiveness within the company.
  • Work closely with department heads to identify areas for improvement and implement solutions to streamline workflows.

Executive Operations

  • Manages the CMO’s schedule, support timely communication responses, provide travel planning and booking support and expense tracking.
  • Attend internal and external meetings on behalf of the CMO when they cannot attend.
  • Create additional bandwidth for the CMO, driving forward key projects and ad hoc requests.

Job Qualifications

  • Preferably a 4-year college degree, but the equivalent experience will be considered.
  • Level: 5 Years of experience
  • Shown experience working with senior leadership, preferably in a strategic role.
  • Strong analytical and data-driven decision-making skills; critical thinking and problem-solving skills
  • The ideal candidate has a “no task is too big or small” mindset and a positive attitude at all times.
  • Excellent written and verbal communication skills and interpersonal abilities to motivate and collaborate effectively with cross-functional teams.
  • Ability to convey complex ideas clearly and concisely to different collaborators.
  • Proficiency in brand and marketing strategies (online/offline, awareness, acquisition, adoption, retention, and dedication)
  • Strong project management skills to ensure that strategies are driven effectively and on time, leading multiple moving parts simultaneously.
  • Strategic thinker with an ability to anticipate issues and strongly represent the perspective of leadership.
  • Process-minded with ability to create, improve and maintain repeatable processes to scale and increase effectiveness.
  • Highly organized and proven ability to manage projects and teams.
  • Excellent collaborator with ability to work across the organization and drive change through influence over authority.
  • Comfortable in prioritizing conflicting needs and able to handle matters expeditiously and proactively.
  • Must be a self-starter and comfortable with ambiguity.
  • Operates with discretion with sensitive business information.
  • Experience in planning, managing, and executing events.
  • PowerPoint, Word, Excel, Google Suite, knowledge required.
  • Dedicated remote work area that is quiet enough for employee to concentrate is required. Must have homeowner’s or renter’s insurance and the ability to comply with company technology, safety, and health requirements.
  • Ability to travel on occasion as required to attend meetings and/or events.
  • Ability to frequently operate a computer and other office productivity machinery.
  • Ability to lift up to twenty (20) pounds.
  • Ability to perform the essential functions with or without a reasonable accommodation.
  • May require more than forty (40) hours per week to perform the essential duties of the position.

SCHEDULE

Brand USA’s business hours are Monday through Friday, from 8:30 a.m. to 5:30 p.m. Our standard work hours may vary based upon position requirements. Additional hours may be required during peak times, which may require an adjusted work schedule, overtime, and evening/weekend hours in order to meet deadlines.
