Boys Girls Haven is Hiring a Program Supervisor - Residential Near Louisville, KY

Core Schedule: Monday – Friday, 8:30AM – 5:00PM; flexible to work evenings, weekends and on-call to meet needs of the clients.

Ensure that program is in compliance with all applicable laws, regulations and standards. Facilitate effective communication with staff, between shifts, and also with other professional and support staff. Support and guide staff in the successful fulfillment of their individual and teamwork responsibilities. Ensure that staff members receive 40 hours of training to meet license and program requirements and provide training as necessary. Demonstrate organizational and leadership skills. Conduct regular team meetings to monitor performance and progress of staff members, individual clients and the program as a whole. Meet regularly with Program Manager to provide program updates and receive supervision. Provide direct client care and coverage as needed, including on-call coverage. Ensure that cottage interiors, exteriors and grounds are regularly kept in excellent condition regarding maintenance and appearance. Manage tasks and documentation related to maintenance of Residential clients, team members and department. Essential Functions:  
  1. Supervisory Responsibilities – Motivates, coaches, develops and leads the Residential team. Facilitate team communications, coordination and effectiveness. Manages department in an efficient and cost-effective manner.  Demonstrates understanding of the work of position(s) supervised; assigns daily work clearly, gives staff authority to complete. Updates staff on changes in work or workplace. Supports and guides staff in the fulfillment of their individual and teamwork responsibilities. Supervises staff performance to ensure their duties are carried out in accord with their position description and BGH’s philosophy and policies. Assists direct reports in establishing goals and achieving successful results. Monitors staff performance daily and gives informal feedback and structured feedback. Completes and shares performance appraisals on a timely basis. Trains new staff & ensures new employees are being oriented well; provides retraining when needed, either personally or assuring the appropriate person provides the training. Encourages employees’ participation in staff meetings, in-services, and educational opportunities and does the same. Provides recognition to employees who perform their duties correctly or go the “extra mile”; encourages others to improve performance. Encourages employees to take on new challenges. Asks employees to help formulate solutions to problems in the work place. Listens/serves as a resource and advocate for work problems, equipment, and supply needs and employee complaints; listens in a caring manner and directs staff to resources for personal crises and problems. Inquires as to how the work is going, checks to see if staff have what they need to do the job. Encourages staff; asks and invites involvement and feedback from staff. Drafts and distributes program schedules, including revisions and changes. Coordinates with staff and managers to ensures the program has sufficient staff coverage to assure appropriate staff/client ratios/coverage as well as minimal use of non-budgeted extended overtime. Provide direct client care and coverage as needed.
 
  1. Therapeutic Living Milieu Responsibilities - Demonstrates knowledge of, and capacity to successfully implement, treatment model in accordance with agency policies and procedures. Facilitates treatment planning and service delivery for assigned clients, beginning at intake and continuing through the discharge/aftercare process. Performs case management duties as needed in a manner that is consistent with clients’ treatment plans. Provides orientation for new clients. Assists and supports staff in implementing the treatment model, providing program structure, setting limits and handling crisis situations. Provides coverage for program to ensure that proper staff-to-client ratio is maintained. Coordinates appropriate educational activities for clients (e.g. campus-based school, off-campus school, GED, college) and facilitates information flow between schools and program. Assists staff in planning and implementing activities with clients, focusing on the therapeutic aspect of recreation and good work habits. Ensures that staff members receive 40 hours of training to meet license and program requirements.
 
  1. Administrative Responsibilities – Adheres to agency policies and procedures, and ensures that staff members do the same. Performs administrative duties such as timely completion of necessary/relevant forms, reports, evaluations etc. and other department-related documentation. Checks for and distributes IR’s daily. Assists with developing plans of correction for deficiencies noted during inspections. Participates in facility surveys made by authorized government or other regulatory agencies. Assists in developing and implementing procedures which ensure that departmental supplies are used in an efficient manner to avoid waste. Regularly monitors essential documentation, including staff logs, client charts, medical records, visitation logs, incident reports, progress notes and telephone logs. Support and monitor Accuflo and staff to ensure prescribed medication is ordered and distributed as directed by the care plan. Ensures that documentation is complete and accurate. Utilizes program funds as directed in accordance with BGH policies and procedures. Coordinates supply inventories, requisitions and purchases. Accomplishes cost-saving measures within the facility, particularly through prudent purchasing. Maintains cottage interiors, exteriors and grounds in excellent condition. Coordinates staff duties so that they are completed regularly and with a sense of pride in the facility’s total appearance. Meet with the Maintenance Supervisor as needed to address facility needs. Other duties as assigned.

Follows chain of command as appropriate when reporting issues or concerns. Meets regularly with Program Manager to keep him/her informed of program needs and to receive supervision.
 
  1. Safety -Maintains safe work practices and follows all safety and emergency procedures. This includes checking equipment before use, operating equipment safely and following safe and proper techniques for use of chemical / cleaning solutions. Ensures the work area is clean and organized. Assumes the responsibility of obtaining/maintaining material safety data sheets (MSDS) for hazardous chemicals used or stored in the department. Inspect storage rooms, utility/janitorial closets, etc., for upkeep and supply control. Reports occupational exposures to blood, body fluids, infectious materials, and hazardous chemicals in accordance with the BGH’s policies and procedures governing accidents and incidents. Ensures monthly fire and emergency drills are conducted and documented appropriately

  1. EducationHigh School Diploma or equivalent. BA/BS in human services preferred. Certification in SCM, CPR, First Aid
 
  1. Experience/CredentialsExcellent verbal and written communication and organizational skills, including proficiency with appropriate computer software/hardware (i.e., Windows, Microsoft Excel, Outlook, Power Point, Word and other relevant software/hardware).
 
  1. Other - Interact professionally with BGH employees, clients, visitors, government agencies and the general public. Maintain confidentiality of all client information. Must be at least 21 years of age and legally able to work in U.S. Valid driver’s license and insurability by BGH’s insurance carrier required if expected to transport clients and/or use company vehicles. Successful completion of all background screenings and pre-employment drug screen. Successful negative, post-contingent offer and annual TB screenings.
Physical Demands: While performing the duties of this job, the employee is required to: stand, walk and sit; use hands to manually manipulate, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to read, write and converse in English.Work Environment: While performing the duties of this job, the employee is exposed to a standard administrative office environment.
