Job Title: CFY Lead
Department/Level: Operations
Reports to: Director of Operations
Schedule: Monday-Friday 10AM-6PM
Wage: Starting @ $60,000/yr

The Boys & Girls Clubs of the Midlands (BGCM), an affiliate with Boys & Girls Clubs of America, is a comprehensive out-of-school provider designed to support the most vulnerable youth in the Midlands. Our vision is to provide a world-class Club Experience that assures success is within reach of every young person who enters our doors, with all members on track to graduate from high school with a plan for the future, demonstrating good character and citizenship, and living a healthy lifestyle. Position Summary:
Serves as the Boys & Girls Clubs of the Midlands (BGCM) primary contact and lead staff concerning all functions dealing with BGCM Clubs that have funding (in full or part) from 21st Century Community Learning Center and/or Collective for Youth (CFY).
Essential Functions:
Attend Monthly Manager Meetings
Attend Provider Management Meetings – 6x/year
Manage Completion of all CFY-related Reporting
Mid-Year Grant Reports for all CFY Clubs (6) - January
Year-End Grant Reports for all CFY Clubs (6) – July
Annual Participation Reports (APR)
  • 3x/year for all Clubs
  • Meet with all Club Directors for each APR
  • Online submissions of report during meetings
  • Manage additional grant reporting as needed
  • ELO Stem Grants – 2x/year For Spring Lake, Skinner, and Mt View Clubs
  • PKF Stem Grants – 2x/year For Spring Lake, Skinner, Mt View, and Florence Clubs
  • Manage Session Reports for all CFY Clubs – 3x/year
  • Manage all CFY Clubs’ Continuous Improvement Plan
  • Complete for each Club 1x/year – September
  • Fiscal Form – November
  • Self-Assessment – December
  • CIP Report – Annual
  • Conduct Monitoring Observations
  • Observations with external vendors
  • Prep Club Directors and attend observations and follow-up meetings – 4x/year
  • Conduct and Manage Quality Assessments
  • Self-Assessments for all CFY Clubs (including video submissions) – September/February
  • External Assessments for all CFY Clubs – April/May
  • Manage ROI Form Requirements
  • Monitoring ROI collection, completion, and submission at all CFY Clubs
  • Forms turned in weekly to Omaha Public Schools from all CFY Clubs
Oversee City Span Management
  • Oversight, training, and ongoing usage of City Span by all CFY Clubs
  • Member online registration management
  • Scheduling and entering criteria into City Span
  • Managing front door (attendance), provider and attendance
  • Updated data each session
  • Regularly scheduled compliance checks with CFY staff
  • Manage Time and Effort Forms
  • Collect T&E forms from all Club Directors with signatures and submit to CFY 2x/year
  • Manage Principal Meetings
  • Attend quarterly meetings with school Principals and Club Directors
  • Notes and agenda required for reporting purposes
  • Include parents and providers in meetings
  • Survey Management
  • Youth Outcome Surveys – 2x/year in Fall and Spring – 90% completion expectation
  • Workforce Surveys – Open year-round – 100% completion expectation
  • 21st Century Surveys – March/April of each year.
  • Teacher/Parent/Student Surveys/Parent Consents – 90% expectation
  • Attend Collective for Youth Network Meetings
  • Attend meetings with CFY staff, all CFY Club Directors, and providers – 6x/year
  • Serve on Student Neighborhood Advisory Committee
  • Attend meetings as needed for Morton
  • Manage additional provider funds
  • Complete and manage building permits for all CFY Clubs in OPS schools
  • Collect provider feedback forms from CFY-approved providers and submit to CFY – 2x/year
  • Manage meal requests for out-of-school days for CFY Clubs
  • Track and monitor CFY Clubs’ Fire and Tornado Drills/schedules
  • Attend Goals and Updates meetings with CFY staff
  • 3x/year
  • Progress on Quality Assessment
  • Survey response reviews/discussion
  • Trainings
  • Annual Food Service trainings for CFY staff
  • OPS Mandatory Reporters/Child Abuse Trainings
  • CFY Annual Get Connected Conference for all CFY Clubs
  • Planning with Data meeting – 1x/year (half-day training)
  • ELO-related trainings (E-sports) – 5 Trainings
  • Management of Child Care Subsidy Collection at CFY Clubs
  • Supervises CFY Clubs in times of prolonged Club Director absences and/or transitions
  • Works closely with Director of Operations regarding Club Director performance and expectations
  • Assure curriculum and activities follow Boys & Girls Clubs of America membership, state and federal regulations, DHHS regulations, Child Care Subsidy, CACFP and Collective for Youth expectations
  • Integrate the analysis and reporting of data and information into continual readiness and performance improvement activities and reports
  • Utilize statistical tools and methods to communicate and measure results
  • Provide periodic reports to leadership regarding outcomes/results of required projects
  • Adhere to all Federal, State, Local codes, rules and regulations as they pertain to licensing, certification and ongoing operation of Club requirements
  • Learn and maintain knowledge base of BGCM, state and federal regulations to ensure the greatest possible outcomes
  • Develop and maintain effective responsiveness, communication and positive working relationships with all BGCM staff
  • Solve complex problems with minimal guidance
  • Other duties may be assigned

Knowledge of the mission, objectives, policies, curriculum, procedures, principles, and practices of non-profit organizations, youth development services preferred
Experience working with and demonstrating compassion and/or sensitivity toward vulnerable populations and individuals with diverse backgrounds present in the organization’s service population, both individually and in groups
Ability to establish and maintain effective working relationship with Club staff, Board members, volunteers, community groups, and other related agencies
Person will be of flawless integrity and will fully embody BGCM organizational Core Values
Minimum Requirements
Bachelor’s Degree or above preferred
2 years’ experience in 21st Century Community Learning Center environment a plus
Working knowledge of basic regulatory frameworks, general regulatory and internal control requirements, and knowledge in all aspects of Collective for Youth expectations and regulations
Self-motivated with ability to be a strategic and critical thinker in addition to being able to take initiative and able to work in an independent work environment
Project Management experience preferred
Ability to lead and train staff and/or youth
Demonstrated ability to navigate seamlessly between multiple PC systems and curriculum, including City Span and Trax Solutions
Ability to compile data and generate reports
Ability to function effectively as a team member, while exercising independent and critical judgment
Ability to coordinate and prioritize work with multiple and conflicting demands, in a deadline-oriented environment
Ability to effectively interact with sensitivity and responsiveness to cultural differences present in the organization’s service population, both individually and in groups
Must be able to effectively navigate and function within a virtual environment when necessary
Must be proficient in the use of Windows, Internet, Microsoft Suite (Microsoft Teams, Word, Excel, Outlook, Access or other database software proficiency), Zoom or other Virtual Meeting platforms, and
Maintain a valid driver’s license and meet eligibility requirements to drive a BGCM vehicle
Must be able to pass a drug test, criminal and driving records investigation**
The ability to read and write is necessary to complete reports and properly document organizational data**
Must have regular and reliable attendance
Must have reliable transportation
