Position Summary
The Club Administrative Coordinator is a dynamic and experienced professional responsible for the facilitation of all administrative and clerical front desk responsibilities within the Club. The Club Admin Coordinator proactively develops and maintains relationships with members, families, volunteers, and visitors by making efforts to listen and respond at all times; provides solutions to member’s needs and places high priority on member and family satisfaction.
Essential Job Function & Responsibilities:
Customer Service:
  • Demonstrate high levels of enthusiasm towards Club members and visitors; offer exceptional customer
  • service experience, ability to problem solve.
  • Ability to work in a busy environment, both independently and as a part of a team
  • Ability to maintain confidentiality as required by HIPAA regulations and organizational policies
  • Conduct weekly outreach calls to connect with families about Club opportunities.
  • Answer and document all incoming calls regarding Club programs and enrollment.
  • Ensure appropriate visitor and volunteer logs.
Data and Records Management:
  • Manage Member Tracking System by entering and updating member data within 24-hours of receiving.
  • ensure accuracy of data.
  • Assist in compiling reports that illustrate program objectives and goals that align with the core youth
  • development outcomes of Academic Success, Good Character & Leadership, Healthy Lifestyles, and Socio
  • Emotional Health.
  • Support leadership in the collection of data for donors and government grants.
Professionalism:
  • Support Club Director and Club staff in remaining compliant with BGCA membership requirements and
  • BGCCO policies and procedures.
  • Follow all organization-wide policies, procedures, and standards with regard to upkeep, usage, and
  • maintenance of Club spaces, materials, and equipment.
  • Perform at a high productivity level while maintaining effectiveness in varying environments and with
  • different tasks, responsibilities, and people.
Member Experience:
  • Build positive relationships with members.
  • Impose member expectations at all times.
  • Model and encourage positive behavior and interactions between members.
  • Assist club staff in maintaining a Club environment that is safe, positive, and encourages youth development
  • through quality experiences and high standards of achievement.
Additional Responsibilities:
  • Work with staff on special events, occasional weekends
  • Drive organizational vehicle and transport members.
  • Other duties as assigned.
Minimum Qualifications:
  • High School Diploma or GED
  • Valid Ohio Driver’s license and Motor Vehicle report required for Marion and Newark locations only.
  • Minimum of 1-2 years’ of demonstrated ability working with youth, community programs or customer service.
  • 1-2 years’ experience using scheduling software, record maintenance, check-in or similar.
  • Advanced knowledge of Microsoft office (outlook, word, excel).
  • Demonstrated ability in working with young people, parents, and community leaders.
  • Strong interpersonal skills, ability to interact professionally with clients, vendors, and other external sources in a professional manner
Physical Requirements:
  • Ability to lift objects weighing up to 20 lbs./ (Occasionally)
  • Stand, sit, walk (Frequently)
  • Operates a computer and other office productivity equipment such as copy machine, computer, printer, timeclock, typing (frequently).
  • Kneeling, crouching, bending (Frequently).
  • Exposure to outdoor weather conditions (occasionally).
