We recognize thirteen holidays annually and our centers are closed. Additionally, if the holiday falls on a weekend day, we will be closed the Friday or Monday closest to the holiday.

POSITION: Membership Coordinator

LOCATION: Harrington Clubhouse

REPORTS TO: Director of Operations

HOURS OF WORK: Full-Time, 10am-6pm, scheduling flexibility required for events.

WORK STATUS: Non-Exempt

Reporting to the Director of Operations (and working closely with the Operations Manager), the Membership Coordinator will supervise and support the front desk/receptionists at the Harrington Clubhouse and oversee special membership projects, including the Teen Outreach Initiative. The Teen Outreach Initiative’s goal is to grow teen membership by 20% as well as increase average daily attendance to 175. The Membership Coordinator will also be responsible for assisting with the development of other membership growth initiatives and conducting clerical and reporting tasks including data entry and reporting, when needed and directed by the Director of Operations. The Club is looking for an individual who thinks outside of the box and develops creative strategies to grow our membership, especially our teen population.

Qualification Requirements

Education: High School or GED required. Degree from an accredited college or university, preferred but not required.

Experience: A minimum of two years’ working in a Boys & Girls Club or similar organization with skills and experience in recruitment tactics, supervision of reception area, and working with a diverse youth, family, and staff population. Strong social media and marketing experience to attract youth and families to join the Club.

Knowledge: Considerable knowledge of youth development best practices, objectives, policies, programs, and procedures.

Skills required in the following areas:

  • Demonstrated ability to organize, direct and coordinate front desk and membership operations, including overseeing the organization’s MyClubHub online membership registration and reporting platform. Train team members, teens, and parents to utilize the MyClubHub system on an as need basis.
  • Strong communication skills verbal, written and via social media.
  • Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
  • Strong presentation skills and ability to speak at outreach and recruitment events as the Club representative.
  • Ability to establish and maintain effective working relationships with current and potential Club members, parents, Club staff, Leadership team, community groups, volunteers, and other related agencies.
  • Meticulous attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient in Microsoft Office Suite or related software.
  • Experience with database entry and reporting required.
  • Experience with MyClubHub online membership and reporting platform preferred, but not required. Willingness to learn and oversee MyClubHub platform required.
  • Ability to work in a diverse cultural environment. Commitment to social justice and creating a safe space for all.

Major Duties and Responsibilities

  • Under the direction of the Director of Operations, assist in developing, planning, and coordinating membership outreach initiatives to grow our youth and teen membership.
  • Under the direction of the Director of Operations, oversee the supervision of the front desk/receptionist team. Develop protocols and practices that ensure all who attend or visit our Club are in a supportive environment that is safe, inclusive, and provides a strong sense of belonging.
  • Assist the Director of Operations in operational activities, including inputting data and providing attendance reports from the MyClubHub system.
  • Provide confidential administrative support to the Director of Operations, when needed.
  • Create, maintain, and update a variety of documents including drafting and editing emails, preparing meeting agendas, and recording minutes.
  • Provide direct service and/or activities when needed to ensure the staff and member safety ratio.
  • Perform other duties as assigned.

Relationships:

Internal: Maintains close contact with assigned Directors and other staff to provide technical assistance in matters of programming and operations; interacts regularly with leadership team

External: Maintains contact with external community groups, parents, current and potential Club members, schools, and others.

Environment and Working Conditions:

All work is conducted in a Club or office setting, occasional travel is required.

Demonstrated ability to:

  • Maintain a high energy level and be comfortable performing multi-faceted projects in conjunction with day-to-day responsibilities.
  • Regularly required to speak clearly and hear the spoken word as well
  • Ability to lift up to 50 lbs.
  • Stand for a long period of time; up to 8 hours per day.
