Front Desk Coordinator - Windward Clubhouse

Club Admin Kailua, Hawaii Minimum Experience Mid-level Compensation $12.00 / hour

The Front Desk Coordinator position at the Windward Boys & Girls Club is responsible for the various daily functions, which include but are not limited to answering telephones, typing, computer data input / entry, duplicating and filing, maintaining office equipment and supplies, setting up and maintaining employee files and documents, and handling cash receipts and deposits.

  • Located in our Windward Clubhouse on the Island of Oahu.
  • Starting pay is $12.00 an hour (depending on experience).
  • Regular Part-Time position, 35 hours a week.
  • Hours are M-F : 9 am to 5 pm, but schedule will be flexible and varies on the hours of operation

PRIMARY FUNCTION :

  • Welcome and greet all who enter the Clubhouse : members, parents, volunteers, etc.
  • Answer phone by the third ring, Aloha Boys & Girls Club this is .
  • Manage KidTrax database : enter new members, renew expiring memberships by working 3 months out; enter program attendance information within 24 hours of the program
  • Filing : Daily sign-in sheets, activity sheets, Requisitions, etc
  • Process Donations
  • Close out money at the end of the day and complete Fee Reconciliation Form
  • Process member payments including membership fees, card replacement fees, Intersession, and sports league fees
  • Keep desk area clean and organized.
  • Manage and order office supplies (paper, print cartridges, copy machine, etc.) and clubhouse supplies (toilet paper, paper towels, soap, sani-wipes, etc.)
  • Follow BGCH cash policies.
  • Additional responsibilities-performs other duties as assigned to ensure the success of programs under his / her jurisdiction.

MINIMUM QUALIFICATIONS :

Education

High School diploma

Experience

Two years of administrative assistant, secretarial and / or office experience.

Substitution (in lieu of the above education & experience the following can serve as a substitute)

Graduation from a business school may substitute for one year of experience.

An Associates or Bachelors degree may substitute for one year of experience.

Required Skills, Knowledge and Abilities

  • Ability to operate a personal computer, using word processing and spreadsheet and database management programs.
  • Possess good grammar, punctuation, and filing skills.
  • Ability to perform duties with limited supervision, using good organizational skills, and with frequent interruptions.
  • Must enjoy being in an environment where there are many children.
  • Ability to communicate and work effectively with people and youth of diverse ethnic and socioeconomic backgrounds.
  • Ability to work independently.
  • Ability to work for prolonged periods of time at high levels of activity, managing multiple tasks with varying deadlines.
  • Ability to write clear and concise reports, letters, memos, etc.
  • Able to work flexible hours and days.

Ability to carry out detailed and complex instructions; ability to BGCH with coworkers and public by telephone and in person as a member of a team to provide services to external and internal customers;

ability to perform a variety of duties and prioritize tasks to meet organizational needs. Ability to clearly and concisely exchange ideas, information and guidance in person, by telephone, email, fax or correspondence.

Physical requirements include : sight, hearing, sitting for four or more hours a day, standing for one to two or more hours a day, stooping;
