Job Title: Assistant Maintenance Coordinator

As an Assistant Coordinator, you will work closely with account managers to facilitate seamless execution of maintenance projects. This position requires someone with mechanical aptitude, exceptional organizational skills, and the ability to communicate effectively with both clients and contractors. Responsibilities:
- Collaborate directly with in-house technicians and subcontractors, overseeing their check-in and check-out processes on jobs and providing real-time updates to clients.
- Procure necessary materials for work orders, either by direct purchase or by approving purchases made by technicians and contractors.
- Ensure efficient allocation of labor to complete work within the client's specified time frame and budget, promptly communicating any variations to the client.
- Generate purchase orders for subcontractors, ensuring terms are understood and adhered to.
- Follow up with contractors to collect required documents, such as notes, photos, quotes, and invoices.
- Enter photos and notes into multiple systems, as well as input proposals and invoices into client platforms.
- Record labor and material expenses, processing receipts and invoices for each job.

Qualifications:
- Minimum of 1-2 years experience in construction, maintenance, or project management.

- Proficiency with computers, including Microsoft Office (Excel and Outlook). QuickBooks experience is a plus.
- Capability to identify and source materials across several trades.
- Successful completion of a pre-employment background check and drug screen.
- Reliable transportation to and from work.
- High School diploma/GED or trade school equivalent.
