Boston Children's Hospital is Hiring a Program Coordinator I- Precision Vaccines Program Near Boston, MA

Job SummaryThe Precision Vaccines Program (PVP) is currently seeking a Program Coordinator who will provide administrative support to the team. PVP at BCH is an academic research program employing multi-disciplinary approaches to discover and develop next-generation vaccines tailored to vulnerable populations such as infants, older adults, those with comorbidities, and the immunocompromised. The team is currently working on vaccines against coronavirus, influenza, respiratory syncytial virus (RSV), human immunodeficiency virus (HIV), pertussis (whooping cough) as well as a vaccine against opioid overdose deaths.
The PVP team is composed of experts in administration, vaccinology, clinical trials, immunology, molecular biology, data management, biostatistics, bioinformatics, and systems biology. We foster international collaboration among academia, government, and industry to advance translation and achieve our mission.
The Program Coordinator I shall be responsible for:
  • Under direct supervision, coordinates all activities and functions of the program to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications.
  • Scheduling appointments and meetings and maintaining the personal calendar for the Program Director.
  • Answering, screening and routing telephone calls and greeting visitors and staff. Provide information within scope of knowledge and authority. Drafting responses to routine correspondence.
  • Preparing travel arrangements for Program Director to attend professional meetings and conferences.
  • Maintaining Program Director’s CV in Harvard Medical School format.
  • Monitoring and maintaining office equipment, software and supply inventory
  • Hosting and facilitating weekly Lab meetings, creating agenda and distributing notes
  • Assisting with developing social media posts (e.g. Twitter, Facebook/Meta) to communicate science to the lay public, creating calendar, scheduling posts
  • Assisting with Program fundraising efforts
  • Assisting with researching, writing and distributing the Precision Vaccines Network quarterly electronic newsletter.
  • May assist with Visa and Associated Personnel paperwork and submissions
  • Updating web platforms as needed (Teamwork /Team / Webexchange etc.)
  • May assist in preparation of grant proposals for funding and/or funding continuation from outside sponsors.
  • Conferring with staff and others to provide technical advice, provide problem solving assistance and answer questions about the Program and its goals. Referring inquiries to others as needed.
  • May prepare or assist in the preparation of periodic reports and records on program activities, progress, status or other special reports for management or outside agencies.
  • May review applications or other program documents in conjunction with supervisor to determine acceptance or make decisions pertaining to program.
  • May assist in the coordination of recruitment and onboarding efforts.
  • Drafting written communication and promotional literature.
  • May assist in planning workshops, meetings or conferences; coordinates logistics, scheduling and participant communications.
  • Interacting and maintaining liaison with staff, faculty and outside/community agencies in facilitating program objectives.
To qualify, you must
  • Associate’s degree and 1 year of relevant experience. Bachelor’s degree preferred
  • The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • The ability to work with diverse internal and external constituencies.
