**Job Overview:**
We are seeking a Customer Service Specialist to join our team. The ideal candidate will be responsible for providing exceptional support and service to our customers. This position offers the opportunity to work in a dynamic customer service environment where you can enhance your skills and contribute to our team's success.
JOB SUMMARY:
The Customer Service/Order Specialist is responsible for responding to customer service-related telephone calls, messages, emails, and written communication on behalf of the organization. They take calls or respond to emails from clients, answering questions, checking on order processing, or resolving complaints or disputes. This position will also perform other assorted administrative duties.
PRIMARY DUTIES:
¬ Provide support for our internal & external customers
o Assist with the day-to-day operations.
o Maintain Backorders and EDI orders
o Responsible for all daily tasks associated with assigned account(s).
o Communicate effectively with the customer service team
o Promptly respond to customers inquiries via telephone, or email
o Answer inquiries for customers
o Answer inquiries for Sales representatives
o Listen to customer complaints and provide adequate solutions for their problem
via phone or email.
o Assist “walk-in’s” and phone customers in placing orders
¬ Coordinate with all departments & answer inquiries
o Billing: fulfillment issues, price discrepancies
o Sales: Deadlines
o Warehouse: Customer needs, order ship dates
o Customer Service & Production: recognize and resolve current or potential issues.
Ship dates, inventory, shipping methods, etc.
o Customer complaints - external
o Work closely with Sales Personnel, warehouse, and necessary departments to document, investigate and close Customer Complaints.
¬ Approve Credits and adjustments & sends to upper management to process
¬ Customer Maintenance
o Assist with customer files – updating with shipping notes and demands
o System Maintenance
¬ Other duties as required
o Maintaining Office supply stock, Kitchen, and Restroom
o Stocking kitchen daily
o Mail – incoming and outgoing
QUALIFICATIONS
Highschool diploma or equivalent, required. Associate degree (A.A.B. or A.A.), preferred.
3 – 5 years of experience in customer service, or related role, required. Proven track record of delivering exceptional customer service, with a focus on resolving inquiries, complaints, and issues in a timely and professional manner.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
¬ Must be able to lift 30 lbs. with or without accommodation.
¬ Knowledge of flexographic printing preferred not required.
¬ Knowledge of computer programs (Microsoft: Word, Excel, Outlook)
¬ Strong math skills
¬ Ability to work independently and in a group setting.
¬ Must possess strong oral and written communication skills to interact with all levels in
the company, as well as outside customers and vendors.
¬ Knowledge of available internal/external resources and the companies process of
internal spending.
¬ Strong organizational skills.
¬ The ability to adapt to a constantly changing environment.
¬ Awareness of available internal materials and resources necessary to complete orders.
¬ Knowledge of the “Just in Time” inventory concept and the ability to order product accordingly
¬ A great deal of creativity is needed in finding certain material to fit internal and external customer needs.
PHYSICAL AND MENTAL DEMANDS
The ability to sit for long periods of time (6-9 hours) and use a computer screen and talking on the phone with customers. The capability of lifting 30 lbs with or without accommodation. The ability to cope with the constantly changing environment. Typing/data entry errors could result in a waste of company money as well as production running wrong items. Not analyzing reorder reports could result in the unavailability of stock to complete jobs or supplies to fill orders.
