Overview of the Position Responsibilities : The Facilities Operations Administrator will perform general administrative and executive support tasks to ensure organizational sustainability and the efficient operation of the real estate, facilities, and fleet departments. This role will collaborate with leadership to devise, implement and manage strategic administrative improvements, systems, policies, and procedures. This position is responsible for coordinating support for all markets, which includes managing vendors, updating reports, landlord and budget management. If this sounds exciting, please read on.

What You Will Do:
  • Maintains real estate, facilities, and fleet documentation.
  • Understands OSHA, fleet-specific regulations, licensing, registration, and reporting requirements.
  • Prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting.
  • Coordinates fleet repairs and preventative maintenance.
  • Plans and coordinates office-wide facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders.
  • Monitors inventory and places orders for office equipment, supplies, or provisions.
  • Manages all aspects of assigned projects to ensure timely completion within available budget
  • Manages work order requests; ensures problems are resolved quickly
  • Coordinates issuance of certificates of insurance (COIs)
  • Tracks critical dates and deliverables.
  • Acts as liaison between employees and any outside contractors needed to resolve specialized problems.
  • Tracks invoices for payment and proper coding.
  • Partners with Finance for vendor setup and payments.
  • Manages processing of all transactions involving A/R, A/P, inventory, and equipment.
  • Creates reports for business expenses, financial records, and audits.
  • Facilitates identification and utilization of local vendor support.
  • Coordinates service and utility for all locations.
  • Coordinates building engineering and property management support as well as amenity use.
  • Plans, organizes, and directs execution of special projects, events, and requests.
  • Coordinates life/safety measures.
  • Supports security access control system.
  • Manages budget, services, equipment and commodities within company policy and procedure.
  • Provides administrative support to senior leadership.
  • Identifies ways to increase revenue, decrease expenses, and improve efficiency.
  • Other related duties as assigned.
What You Will Need:
  • A high school diploma or GED is required.
  • Bachelor's degree preferred.
  • Must possess 3-5 years progressive facilities, administrative, or related experience.
  • Strong written, verbal and presentation skills, including the ability to articulate ideas and suggestions clearly and effectively.
  • MS Office Suite: Outlook, Powerpoint, Word, Excel, OneNote.
  • Ability to work with different functional groups and levels of employees to achieve results effectively and professionally.
  • Effective time management with the ability to work independently, manage multiple tasks, set priorities, and meet deadlines.
  • Must be able to maintain strict confidentiality in dealing with all documents, files, and conversations.
  • Basic understanding of office management and institutional management practices and procedures.
  • Structured, analytical thinker.
  • Must be able to successfully pass a background and drug test prior to employment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Regularly required to talk and hear.
  • Frequently required to sit, stand, bend, reach, push, pull and walk.
  • Required to use hands, handle objects and paperwork.
  • Required to use close vision and be able to focus.
  • Required to refrain from personal use of technology during working hours.
  • Required to lift up to 5lbs at a given time.

Salary: $53,000 to $69,000
