Description and Qualifications

The Concierge Administrator position is responsible for the overall support of the Concierge team. Tasks will include sending out initial communication to guests, checking the accuracy of bookings, daily systems checks, as well as other processes to ensure that guests transition to the property seamlessly. The ideal candidate is highly organized and detail-oriented and able to perform the job responsibilities below.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Sends pre-arrival emails and 10 days emails to all guests.
• Assist with answering phones and being an operator for the Concierge team.
• Gathers/tracks guest information by maintaining the guest database.
• Assists the Concierge team daily to confirm information with other departments.
• Audit activity and spa bookings to ensure accuracy.
• Communicates accurate guest information and preferences to other team members and departments.
• Reaches out to other departments for group and leisure guest information.

Must comply with all company policies and procedures.

To perform the essential functions of this position regular and consistent attendance is required.

Must be able to work well with other Team Members, Managers and interact with our guests.

SUPERVISORY RESPONSIBILITY

• None

EDUCATION and/or EXPERIENCE

• A high school diploma required
• Must have a valid driver's license
• Hotel Front of House operations experience preferred

LANGUAGE SKILLS

• Ability to communicate well with guests and fellow staff
• Non-verbal communication skills important
• Must have excellent verbal & written communication skills

MATHEMATICAL SKILLS

• Basic math skills required

REASONING ABILITY

• Must be able to exercise judgment and make decisions based on job knowledge and awareness of company goals
• Must be able to listen carefully to guest requests and execute them promptly

PHYSICAL DEMANDS

• Must be able to sit or stand for long periods
• Must be able to sit at a computer for long periods
• Must be able to operate a company vehicle or golf cart

WORK ENVIRONMENT

• General office
• 4,200 acres of Blackberry Farm property
• 5,200 acres of Blackberry Mountain property
• Must be able to work outside in all weather conditions
