Under general supervision, assists in thedelivery of patient care/treatment and provides clerical and administrativesupport. Works collaboratively with the Physician, Non-Physician Provider, RNand other departmental personnel to meet the physical, psychosocial,educational, and spiritual needs of the patient and family.


Essential Job Functions

• Supports and models behaviors consistent withBillings Clinic’s mission, vision, values, code of business conduct and serviceexpectations. Meets all mandatory organizational and departmental requirements.
• Maintains competency in all organizational,departmental and outside agency standards as it relates to the environment,employee, patient safety or job performance.
• Prepares room, equipment and supplies as dictated by aparticular examination, patient’s needs, and Billings Clinic exam and procedureroom cleaning guidelines.
• Assists with scheduling admissions, appointments,diagnostic tests, treatments, procedures, and surgery. May assist withregistration and/or collection of co-pays.
• Screens incoming telephone calls for appropriatereferrals to nurse, physician and/or non-physician provider.
• Orders and maintains clinical and office supplies andequipment as directed.
• Maintains patient files, records and other information.Adheres to confidentiality requirements.
• Compiles statistical data for reports as directed.
• Attends required meetings and participates incommittees as requested.
• Receives and prepares patient for examination andtreatment as directed. Obtains and records history and vital signs. May assistin preparing for minor procedures and physical exams. Charts and documents inmedical record. Collects laboratory specimens as needed.
• Cleans and disinfects equipment per Billings Clinicsterile processing guidelines.
• Administers influenza vaccine, pneumococcal vaccines,and Td/TDAP to patients age 18 or older.
• Provides instruction to patients as directed byphysician, non-physician provider or documented in policies and procedures.
• Performs all other duties as assigned or as needed tomeet the needs of the department/organization.
• Additional Essential Functions for Level II and III –Refer to Department Grid
• Assists physicians and non-physician providers inpreparing for minor procedures and physical exams.
• Performs minor procedures to include but not limited tostitch and staple removal, application of dressings, ear lavage, splints andcasts, etc.
• Administers medications and immunizations according todepartment approved grid and guidelines; once department requirements andrequired training have been met.
• Additional Essential Functions for Level III – Refer toDepartment Grid
• Administers medications and immunizations according todepartment approved grid and guidelines, which may include pediatric patients;once department requirements have been met.
• Required to assist in 3 medical assistant trainingevents per year (could be less if organizational needs change and also dependson amount of medical assistants in department).*
• Required to precept with a minimum of 5 externs peryear (could be less if organizational needs change and also depends on amountof medical assistants in department).*
• May perform advanced skills for department if alltraining has been completed and competency achieved (please refer to departmentspecific grid).
• Point of Care Testing Trainer or Specialized Trainingspecific to department; i.e. Wound Vac, Vein Procedures
• Additional essential Functions for Level IV – Refer toDepartment Grid
• Administers medications same as previous levelsspecific to department grid and guidelines and additional injections asindicated on department specific grid. (Patient Care; Patient Care, Injections)
• Health coaching , Clinic Float, Training Lead, YellowBelt
• Participates in maintaining and/or building trainingmodules using evidence based best practice for medical assistants
• Assisting with process improvements as related to theclinical setting.
• Proficient in basic patient care and treatment,planning and evaluating according to job description and MA level
• Competent to perform routine, non-complex aspects ofpatient care, treatments and procedures
• Safe pharmaceutical handling requirements andguidelines
• Application of personal protective equipment (PPE) forpatient and staff safety
• Computer applications
• Refer to Department Grid specific to Level I
• Analytical skills necessary to understand a variety ofbasic and/or routine problem scenarios associated with patient care
• Refers more difficult problems to higher level medicalassistant, nurse, supervisor or appropriate health care provider
• Practices according to Billings Clinic MA jobdescription, guidelines and physician judgment
• Work is performed under the direct supervision of aphysician
• Work is performed independently in accordance withassigned schedules and operating procedures
• Assumes responsibility for the follow-up of problemscenarios and coordinates appropriately with other MA, LPN, RN, physicianand/or non-physician provider
• Expected to prioritize all aspects of job performance
• Demonstrates personal accountability in all facets ofrole responsibilities
• Interpersonal skills which enable the incumbent toappropriately respond to a variety of patient/family requests and inquiries, torespond to inquiries from physicians, nursing staff and other health careproviders, and to check for understanding, allay apprehension and enlistcooperation of the patient
• Ability to utilize and apply PSE skills
• Service Recovery
• Communication with patient on expectations, e.g. beinglate for scheduled appointment, wait times
• Able to assist with patient service assistance needs asnecessary and provide service recovery, e.g. coffee cards, lunch, gas cards
• Work with leadership on service recovery as needed
• Medical Terminology (available through LMS)
• Process Improvement / Quality Assurance /Risk Management
• Adheres to patient safety goals and standards
• Participates in Process Improvement or Risk relatedactivities within the department
• Participates in the financial viability of BillingsClinic by ensuring appropriate ensuring appropriate utilization of supplies andequipment and maximizing the flow of patients to maximize effective utilizationof the physician’s/non-physician provider’s time
• On-Call Responsibility
• Basic laboratory specimen handling and processing(urinalysis, blood sugars, etc.)
• Safe pharmaceutical handling requirements andguidelines
• Demonstrate phlebotomy skills if relevant to area.Cross-trained to assist physician and/or non-physician provider with procedures
• Administer Level I approved medications aftercompletion of appropriate pharmaceutical courses, along with Billings Clinicinjection class for Influenza, Pneumococcal, Td/TDAP
